What a Marketing Info Sheet Is and When It’s Used

A Marketing Info Sheet is a concise, structured summary that captures campaign essentials: objectives, target audience, key messages, deliverables, channels, timelines, and approvals. It serves as a single-source reference for marketing, sales, creative, and external agencies to align expectations, reduce rework, and document decisions. Typical uses include campaign kickoffs, cross-team handoffs, media buys, and client approvals. The sheet is usually circulated prior to creative production and retained as part of the campaign record to show who approved what and when.

Why the Marketing Info Sheet Matters for Project Clarity and Compliance

A clear Marketing Info Sheet reduces ambiguity, speeds approvals, and limits scope creep by recording decisions and signoffs. It centralizes creative requirements, legal and regulatory constraints, and distribution details so teams execute consistently and document retention requirements are met under applicable rules such as ESIGN and UETA for electronic records.

Why the Marketing Info Sheet Matters for Project Clarity and Compliance

Who Typically Creates and Uses a Marketing Info Sheet

The Marketing Info Sheet is used by internal marketing teams, external agencies, and cross-functional stakeholders to coordinate campaigns and approvals.

  • Marketing Managers and Campaign Leads: produce and update the sheet; coordinate creative and media timelines for consistent delivery.
  • Agency Account Managers and Creatives: use the sheet to build assets, estimate production, and confirm client requirements and constraints.
  • Sales and Legal Stakeholders: review messaging, disclaimers, and compliance items before final approval and distribution.

Keeping a single, approved Info Sheet reduces review cycles and creates an auditable record of decisions for future reference.

Core Elements of a Professional Marketing Info Sheet

A complete Marketing Info Sheet groups campaign essentials into standard sections so reviewers find required details quickly and approvals are traceable.

Campaign Summary

One-paragraph campaign overview, primary objective, KPIs, and high-level timeline so readers understand goals at a glance.

Target Audience

Detailed audience segments, demographic and psychographic notes, and any exclusion criteria to ensure correct targeting and legal compliance.

Key Messages

Primary message, supporting claims, mandatory disclaimers, and any regulated language required by industry-specific rules or legal review.

Deliverables & Specs

List of assets (sizes, formats, lengths), naming conventions, and technical specs to prevent rework and ensure ad platform compliance.

Distribution Plan

Channels, flight dates, media placements, budget allocations, and tracking parameters for campaign execution and measurement.

Approvals & Contacts

Named approvers, role-based signoff order, version number, and contact information to document responsibility and confirmation.

Step-by-Step: How to Complete the Marketing Info Sheet

Follow a clear sequence to draft, review, and finalize the sheet so approvals are traceable and assets are delivered on schedule.

  • 01
Draft: Populate campaign summary, audience, assets, and budget fields.
  • 02
Internal Review: Share with creative and channel owners for technical and QA checks.
  • 03
Legal Review: Obtain legal or regulatory signoff where required before distribution.
  • 04
Final Approval: Capture approver identity and date; lock the approved version for execution.

Where to Send and Archive the Completed Sheet

Route the approved sheet to the right systems and stakeholders to ensure execution and archival. Maintain a single approved version.

  • Project Repository: Upload final PDF to your team drive or DAM for asset linking and version control.
  • Campaign Platform: Attach the approved sheet to the campaign record in your ad or email platform.
  • Agency Folder: Share the signed PDF with external agencies for production and scheduling.
  • Retention Archive: Store the final version in compliance archive for the mandated retention period.

Digital Signing, Formats, and Integration Considerations

Choose e-signature and storage platforms that support required formats, audit trails, and your integration stack.

  • File Formats: Accept PDF, DOCX, and print-ready image files.
  • Integrations: Integrate with Salesforce, NetSuite, Google Workspace, Microsoft 365, and Box for lifecycle automation.
  • Authentication: Support email, SMS code, or stronger MFA for approver verification.

Ensure chosen tools provide an audit trail and secure storage to comply with ESIGN/UETA and internal records policies.

How to Download, Export, and Save Final Versions

Export formats and naming conventions matter for long-term access and integration with campaign systems. Keep an unaltered PDF and editable source files.

Final PDF

Save an audit-ready PDF/A copy that preserves signatures, timestamps, and the audit trail for future review and evidence.

Editable Source

Store the original DOCX or design file in the project folder to enable future content updates without starting from scratch.

Version Naming

Use a consistent naming convention (Campaign_Version_Approver_MMDDYYYY) to track iterations and approvals.

Backup Storage

Keep backups in an enterprise file store and a separate archival system for redundancy and access control.

Typical Timelines and Internal Deadlines

Set internal deadlines that allow legal and creative reviews while preserving time for revisions and platform approvals.

Submit 14 calendar days before production start date.

Allow 5–7 business days for legal review depending on complexity.

Final Assets Due:
