What the Marketing Paid Media Document Is

A Marketing Paid Media Document consolidates the commercial and operational terms for a paid media campaign into a single, signable record. It typically lists campaign identifiers, budget allocations, targeting parameters, creative specifications, tracking and attribution details, billing terms, approval steps, and performance KPIs so that internal teams, agency partners, and clients share one authoritative source of truth.

Why a Clear Paid Media Agreement Matters

A complete Marketing Paid Media Document reduces billing disputes, speeds launch approvals, and defines responsibilities; it also supports legal enforceability because electronic signatures executed with intent are valid under the ESIGN Act (15 U.S.C. §7001) and UETA (1999) in most U.S. jurisdictions.

Why a Clear Paid Media Agreement Matters

Step-by-step: complete this document correctly

Follow a standard sequence to reduce rework: identify parties, confirm budget and dates, attach creative specs, set tracking, route for approvals, and obtain signatures.

  • 01
Identify parties: Enter advertiser and agency legal names.
  • 02
Confirm budget: Record approved media and fee amounts.
  • 03
Add specs: Attach creatives and asset delivery instructions.
  • 04
Route for signature: Send to signers in the required order.

Who typically prepares and signs this document

Teams that create or approve paid media plans use this document to align finance, operations, and external partners before spend begins.

  • Marketing or media buyer responsible for campaign setup and vendor selection.
  • Finance or accounts payable for billing terms and budget authorization.
  • Client or legal reviewer for contract terms and compliance checks.

Clear role assignment minimizes approval loops and ensures the right signatory executes the document for payment and legal accountability.

Key elements to include for a professional paid media record

A thorough document balances commercial, technical, and legal details so launches run on schedule and invoices match delivery.

Budget Breakdown

Itemize line-item spend by channel, platform, and media type, and indicate agency fees, CPMs, and any platform transaction fees for transparent invoicing.

Targeting Details

Specify audiences, geographies, device targeting, and exclusions so campaign setup in ad platforms matches contractual intent and privacy obligations.

Creative Specifications

Include dimensions, file formats, file naming conventions, and delivery instructions to prevent rejected ads and last-minute revisions.

Tracking & Attribution

Define tracking pixels, UTM parameters, attribution window, and reporting sources to align measurement and reconcile performance reports.

Billing Terms

State invoice frequency, payment terms (e.g., Net 30), currency, and billing contact to reduce late payment disputes.

Change Orders

Describe how scope or budget changes are approved, documented, and billed to avoid retroactive disagreement on spend adjustments.

Required data fields at a glance

Campaign ID: Unique identifier
Advertiser EIN: Tax ID where applicable
Budget Amount: Numeric value, currency
Start / End: MM/DD/YYYY dates
Billing Contact: Name and email
Signer Details: Name, title, date

Common preparation pitfalls to avoid

  • Using inconsistent campaign names across platforms and contracts, which causes reconciliation errors between reporting and invoicing.
  • Leaving creative specifications vague, leading to asset rework and delayed launch windows that cascade into missed performance targets.
  • Failing to define attribution windows or tracking sources, which prevents apples-to-apples KPI measurement across channels.
  • Missing an explicit change-order process, causing disagreement over who authorized additional spend and when.

Consequences of incorrect or incomplete documents

Billing disputes: Delayed payment
Misallocated spend: Incorrect reporting
Policy violations: Ad disapprovals
Tax issues: Incorrect filings
Privacy exposure: Regulatory risk
Contract ambiguity: Legal disputes

Where to send the completed document

Routing should follow the organization’s approval hierarchy and be documented for audit and payment processing purposes.

  • Agency to Client: Primary route for client approval.
  • Client to Finance: For billing setup and PO issuance.
  • Agency Ops: For creative and trafficking setup.
  • Ad Platforms: Deliver assets and tracking details.

Customize and automate this document online

Typical workflow settings reduce manual steps: templates, conditional fields, signer authentication, and notification routing are configured before sending.

Field Configuration
Template Pre-fill standard campaign fields
Conditional Fields Show budget fields only when needed
Authentication Email, SMS code, or KBA
Notifications Auto-email on signature events

Technical distribution and integration options

Use integrations and supported formats to reduce copy/paste errors and speed approvals across systems.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • Formats: PDF, DOCX, HTML, Excel
  • APIs: For custom workflow automation

Connecting the document to CRM, invoicing, and asset storage systems shortens turnaround and preserves an audit trail.
