What Marketing Postcards Are and how they are used

Marketing Postcards are single-panel printed mail pieces used to deliver concise promotional messages, announcements, or transactional updates to a targeted list. They are sized and produced to meet postal standards, typically include a headline, offer, recipient address, and a clear call-to-action, and are distributed via a printer, mail house, or bulk postal service. This page covers content, production, compliance risks, and how to manage approvals and electronic workflows for postcard campaigns.

When Marketing Postcards are the right channel

Postcards work for high-reach, low-friction campaigns where short, visual messages and a simple call-to-action are effective. They are cost-efficient for neighborhood targeting, event reminders, re-engagement, and property or service notifications when design, list quality, and delivery timing are coordinated.

When Marketing Postcards are the right channel

Who typically prepares and approves postcard campaigns

Teams across marketing, sales, and operations manage postcard campaigns; approval workflows often include legal and compliance review before production.

  • Marketing managers coordinating creative, targeting, and campaign KPIs.
  • Small business owners approving offers and budgets for local reach.
  • Real estate agents and brokerages sending property announcements or open-house notices.

Final sign-off should confirm messaging accuracy, suppression lists, and postal indicia before files are released to print or mail.

Essential elements of a professional Marketing Postcard

A professional postcard balances visual impact with regulatory clarity. Use a clear headline, concise offer, recipient personalization where appropriate, visible sender information, and postal-friendly layout for production and mailing.

Front Headline

A short, benefit-focused headline grabs attention and sets expectations for the offer or message on the card.

Offer Box

Concise description of the promotion, discount, or message; include explicit terms, redemption method, and any exclusions.

Call to Action

A single, clear action (visit, call, scan) with a short URL, QR code, or phone number and any required campaign code.

Recipient Info

Personalization fields (name or neighborhood) improve response; use verified mailing lists and suppression checks before printing.

Return/Sender Info

Business name, physical return address, and contact method must be visible and accurate for consumer inquiries and returns.

Postal Compliance

Bleed and trim set to printer and USPS specs; include permit or indicia per mail class to avoid postage penalties.

Required information commonly included on postcards

Sender Name: Legal business name
Return Address: Street, city, state, ZIP
Offer Terms: Clear, specific terms
Contact Info: Phone or email shown
Suppression Flags: Do-not-mail markers
Postal Indicia: Permit or postage marking

Step-by-step process to produce and deploy postcards

Follow a short production workflow that covers design, approval, printing, and mailing to minimize delays and errors.

  • 01
Design and Proof: Create artwork, set bleeds, and proof copy for accuracy.
  • 02
Data and Suppression: Validate mailing list and remove opt-outs.
  • 03
Legal and Approval: Obtain compliance and executive sign-off.
  • 04
Print and Mail: Provide print-ready files to vendor and confirm postage class.

How to configure an online approval and e-sign workflow

Set up a template, merge fields, and an approval route so campaign assets can be reviewed and signed electronically before release to print.

Field Configuration
Template Upload print-ready PDF with designated merge fields
Merge Data Map CSV columns to recipient and personalization fields
Approval Route Add sequential reviewers and required signers
Final Delivery Send signed PDF to printer or mail house automatically

Where finished postcards typically go after approval

After final sign-off, production files are transmitted to a print vendor or mail house; keep proof of approval attached to the job for auditability.

  • Printer / Mail House: Upload signed PDF and data for production
  • In-house Print: Confirm stock, cutter settings, and handoff
  • Postal Drop: Mail house presorts and drops at USPS entry
  • Campaign Tracking: Monitor delivery and response metrics

Digital signing and integration considerations

Choose tools that accept print-ready PDF, support merge data, and integrate with printers and CRM systems to automate approvals.

  • File Formats: PDF, DOCX accepted
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication: Email, SMS, or stronger MFA

Typical production and scheduling timelines

Plan production and approvals to allow sufficient lead time for printing, presort, and USPS transit; timelines vary with mail class and vendor capacity.

Design & Proofing:

2–5 business days depending on revisions

Data Prep:

1–3 business days for list validation and suppression

Printing Run:

3–7 business days for most commercial printers

Mail House Processing:

2–5 business days for presort and drop

USPS Transit:

3–10 days depending on class and distance

Common mistakes when preparing Marketing Postcards

  • Using incorrect address formatting or missing ZIP+4 leads to undeliverable mail and extra postage costs.
  • Late or incomplete approvals cause rush printing fees and missed campaign windows.
  • Failing to remove suppressed or opt-out recipients can result in regulatory complaints and reputation damage.
  • Ambiguous offer language or missing terms increases the risk of consumer disputes and refunds.

Risks and potential penalties for noncompliant postcards

Postal Penalties: Incorrect postage can trigger fines
Consumer Complaints: Misleading claims lead to litigation
Privacy Breach: Exposing PHI risks HIPAA enforcement
Do-Not-Mail Violations: Sending to suppressed lists causes complaints
Brand Damage: High complaint rates reduce response
Wasted Spend: Incorrect lists or proofs cause reprints
