What the Marketing Poster Request Is

A Marketing Poster Request is an internal form used to request design, production, and placement of printed or digital posters for a campaign, event, or retail display. The form collects requester contact details, project summary, artwork files, size and material specifications, quantity, target locations, approval routing, installation timing, and any permit requirements. Standardizing these inputs helps production and facilities teams estimate cost, schedule print runs, and confirm brand and legal compliance. When approvals and signatures are captured electronically, the request becomes an auditable record for vendor invoicing and post‑project review.

Why a Standardized Request Matters

Using a structured Marketing Poster Request reduces back-and-forth, shortens production timelines, and preserves a clear approval trail. It aligns stakeholders on specifications, reduces reprints, and creates documentation useful for budgeting, vendor payment, and compliance reviews.

Why a Standardized Request Matters

Who Typically Submits and Reviews These Requests

Departments that commonly use Marketing Poster Requests include marketing, events, retail operations, and facilities. The form centralizes project details, approvals, and installation instructions for cross‑functional teams.

  • Marketing managers — submit campaign objectives, final artwork, brand approvals, and intended distribution dates for production scheduling.
  • Events and promotions teams — request temporary signage with installation instructions, site contacts, and removal dates to coordinate on-site logistics.
  • Facilities and store operations — confirm mounting points, permit needs, site constraints, and installation windows to avoid site conflicts.

Proper routing ensures the right approvers review artwork and permits before production, reducing unexpected delays or noncompliant placements.

Core Elements to Include in Every Request

A complete request combines contact and project context with technical specs, artwork, approvals, and delivery details so vendors and internal teams can execute without clarification.

Requester

Name, email, phone, and department so production and facilities can resolve questions or confirm timelines with a single point of contact.

Project Summary

Campaign name, objective, target audience, and desired installation dates so creative, procurement, and operations align on purpose and timing.

Specifications

Poster size, material, color mode, bleed and margin requirements, and finishing options so files are prepared to production standards and reduce reprints.

Artwork Files

Accepted file types, resolution, and versions plus a clear preferred print-ready file to avoid conversion errors and delays in production.

Approvals

Named approvers and the required order of sign-off so approval routing is automated and an audit trail records who approved which version.

Delivery & Installation

Quantity, delivery address, installation instructions, and on-site contact details so logistics can schedule shipments and installation windows accurately.

Step-by-Step: From Request to Printed Poster

Follow this sequence to submit, approve, and produce posters with minimal delays and a clear audit record of approvals.

  • 01
Prepare Request: Complete form fields and attach print-ready artwork.
  • 02
Route for Approval: Send to named approvers and capture signatures or approvals.
  • 03
Production Handoff: Send approved files to printer with confirmed specs.
  • 04
Delivery and Install: Coordinate delivery window and installation responsibilities.

Configuring an Online Approval Workflow

Set up routing rules, file intake, and signer authentication so requests flow automatically to reviewers and the production vendor with audit logging enabled.

Field Configuration
Approval Routing Sequential approvers with conditional escalation rules
File Uploads Single upload field accepting PDF/TIFF/PNG, 300 DPI required
Signer Authentication Email link or SMS code; stronger MFA for sensitive approvals
Notifications Automated reminders and status updates to requester and approvers

Digital Tools and File Requirements

The request process works best when the platform supports common file formats, audit trails, and integration with asset or procurement systems.

  • Integrations: Connects with asset management and procurement
  • File types: PDF, TIFF, high-res PNG supported
  • Authentication: Email link, SMS code, or stronger MFA

Where to Send or File Completed Requests

Route the final request and approved artwork to the designated production intake, vendor inbox, and the internal archive so all parties have access to the approved files.

  • Marketing Portal: Primary intake for review and archival
  • Print Vendor Inbox: Send approved print-ready files directly to vendor
  • Procurement System: Create purchase order for vendor billing
  • Shared Asset Library: Archive approved artwork for reuse

Typical Lead Times and Deadlines

Plan according to standard proofing and print timeframes; expedited options incur additional cost and may still require approval lead time.

Proof Turnaround:

Allow 1–2 business days for proof review and minor edits

Standard Print Time:

Allow 3–5 business days for production and finishing

Expedited Print:

Same‑day or 24–48 hour options may be available at higher cost

Installation Scheduling:

Book installers at least 3 business days after delivery

Permit Lead Time:

For public displays, verify local permit deadlines early

Common Preparation Mistakes to Avoid

  • Submitting low-resolution artwork leading to pixelation or print rejection; always provide 300 DPI or vector art.
  • Using incorrect color mode (RGB instead of CMYK) which causes color shift in printing and inconsistent brand appearance.
  • Missing or unclear installation instructions that cause site delays or damage to property during mounting.
  • Skipping named approvers or using informal approvals that do not produce an auditable signature trail.

Consequences of Incorrect or Incomplete Requests

Delay Costs: Increased vendor rush fees and missed campaign windows
Reprint Expense: Full reprint costs if files are wrong or approvals are missing
Brand Noncompliance: Incorrect branding or messaging may require recalls or corrections
Permit Violations: Fines or removal for unauthorized public displays
Vendor Disputes: Billing disagreements from unclear specs or changes post‑order
Record Gaps: Missing audit trail can complicate invoice reconciliation or audits

Typical eSignature Pricing Options for Approval Workflows

Many organizations use an eSignature provider to capture approvals and store signed requests; compare common pricing and feature differences when selecting a solution.

Who Can Sign or Approve a Request

Marketing Manager

A marketing manager typically has authority to approve creative and brand compliance. Their approval confirms campaign alignment and sign‑off on messaging, colors, and positioning, and they are normally responsible for final creative sign‑off before production.

Facilities Director

A facilities director or operations lead authorizes on‑site installation, verifies structural suitability, and confirms any required building permits. Their sign-off ensures installations meet safety and site standards and avoids facility conflicts.

Real-World Request Scenarios

Two concise examples show how a completed Marketing Poster Request moves from submission to installation in different contexts.

Regional Store Campaign

A regional marketing team requests 50 in-store posters for a seasonal promotion, specifying size and material for retail displays.

  • The request includes print-ready PDFs and two approvers in sequence.
  • Production confirmed within standard lead times, installers completed placement on schedule, and the archive stores approved artwork for future reorders.

Campus Event Poster

An events coordinator requests campus posters for a student event and attaches a campus approval form.

  • The workflow requires campus legal and facilities approvals before vendor release.
  • Once signed, the vendor prints and delivers posters, and the event team confirms installation and records removal date in the request.
