What the Marketing Promo Information Form Is

The Marketing Promo Information Form is a structured intake used to collect the key details required to plan, approve, and execute a marketing promotion. Typical entries include campaign name, objectives, target audience, creative assets, budget, legal approvals, run dates, tracking requirements, and fulfillment instructions. Teams use this form to standardize submissions, reduce back-and-forth with legal and finance, and create a single source of truth for campaign operations. The form can be completed as a fillable PDF, online form, or via an eSignature workflow when approvals are required.

Why a Standardized Promo Form Matters

A single, consistent form speeds approvals, reduces errors, and documents consent. Where signatures are required, electronic signatures meeting ESIGN (15 U.S.C. §7001) or UETA standards establish legal enforceability for interstate and intrastate transactions while preserving audit trails and attribution.

Why a Standardized Promo Form Matters

Who Typically Completes and Reviews This Form

Marketing coordinators, campaign managers, and product owners commonly prepare the submission before routing it for review.

  • Marketing coordinator — prepares campaign details and uploads creative assets for review.
  • Legal and compliance reviewer — checks terms, disclosures, and any consumer-protection requirements.
  • Finance or procurement — verifies budget, vendor payments, and tax reporting implications.

Legal, finance, and procurement often review or approve based on campaign spend, prizes, or compliance considerations.

Digital Submission and Delivery Considerations

Choose a platform that supports audit trails, common file formats, and integration with collaboration tools.

  • File Formats: Accepts PDF, DOCX, and image files
  • Integrations: Works with Salesforce and Google Workspace
  • Audit Trail: Captures IP, timestamp, and signer actions

Where Completed Forms Should Go

Define a single destination for storage and a routing path for approvals to prevent versioning and access issues.

  • Campaign Hub: Store final form in shared campaign repository
  • Legal Folder: Copy to legal review archive
  • Finance Record: Attach to budget and payment records
  • Analytics: Send metadata to tracking and reporting systems

Common Mistakes That Delay Approvals

  • Vague audience definitions leading to privacy review delays and additional data-use clarifications.
  • Budget entries without account codes or PO numbers, which force finance to request supplemental information.

Consumer Claims: Promotion disputes
Budget Overruns: Unapproved spend
Contract Breach: Vendor liabilities
