What the Marketing Purchase Authorization Form Is

The Marketing Purchase Authorization Form is a standard internal document used to request, approve, and record the purchase of marketing goods or services. It establishes the requester, budget code, vendor, purchase amount, campaign or project association, and required approvals. Organizations use the form to control spend, ensure budget compliance, and create an auditable trail for procurement, finance, and legal review before a purchase is executed.

Why this form matters for budget control and compliance

A completed authorization form centralizes approvals, prevents unauthorized spending, and creates a clear record for finance and audits. It reduces invoice disputes and speeds vendor onboarding by capturing key purchase and contract terms before expense is incurred.

  • Procurement or purchasing teams who confirm vendor terms and compliance with procurement policies.
  • Finance approvers who verify budget codes, payment terms, and accounting treatment.

  • Using informal approvals (email only) without a signed form creates audit exceptions and payment disputes.

Risks and potential consequences of a faulty form

Unauthorized Spend: Budget overspend
Payment Delays: Vendor disputes
Tax Exposure: Incorrect 1099 reporting
Contract Risk: Unapproved terms
Audit Findings: Noncompliance citations
Operational Impact: Campaign postponement
