What the Meeting Coordination Services Agreement Is

A Meeting Coordination Services Agreement is a written contract that sets out the scope, responsibilities, scheduling procedures, fees, and deliverables when one party provides meeting-planning and coordination services to another. Typical services include agenda development, participant invitation and tracking, logistics management, virtual meeting setup, and post-meeting follow-up. The agreement clarifies timelines, payment terms, confidentiality, liability limits, termination rights, and data-handling obligations for meeting materials and recordings. It serves as the baseline for performance expectations, reduces misunderstandings, and provides enforceable remedies if either party fails to meet agreed duties.

Why a Written Agreement Benefits Both Parties

A Meeting Coordination Services Agreement reduces scheduling errors, defines payment and cancellation policies, and allocates liability and confidentiality responsibilities. Clear terms improve accountability, streamline approvals, and make contractual remedies available if a party breaches obligations, supporting operational and legal certainty.
