What a Meeting Purchase Order Is and when it’s used

A Meeting Purchase Order is a formal procurement document that authorizes the purchase of goods and services specifically for a meeting or event, such as venue rental, catering, audio/visual equipment, and logistics. It establishes the buyer and seller, itemizes line items and quantities, records pricing and taxes, and sets payment terms and invoicing instructions. Organizations use Meeting Purchase Orders to control spend, ensure budget approval, create an auditable record for accounts payable, and provide vendors with an unequivocal authorization to deliver meeting-related services or goods.

Why a clear Meeting Purchase Order matters for procurement and compliance

A well-prepared Meeting Purchase Order reduces delivery errors, speeds vendor fulfillment, and creates an auditable financial record. It clarifies scope, limits dispute risk, and ties spending to approved budgets and contracts while supporting accounts payable workflows and statutory recordkeeping.

Final approval authority varies by organization and is often delegated by dollar threshold; approvals should be documented in the PO workflow.

  • Procurement/Buyer: Verifies vendor terms, price approval, and compliance with purchasing policies prior to issuance.
  • Accounts Payable / Finance: Matches invoices to the PO for payment and maintains the financial record.
