What the Miscellaneous Add On Order Is

A Miscellaneous Add On Order is an attachment or amendment used to add items, services, or terms to an existing purchase order, contract, or agreement without creating a new primary contract. It records scope changes, additional line items, price adjustments, delivery dates, or special instructions and becomes part of the original contract when executed by authorized parties. The form documents the effective date, reference to the base agreement, detailed description of the add-on, pricing or consideration, approvals, and signatures required to validate the change and trigger subsequent internal processing and payment workflows.

Why a Clear Add On Order Matters

A properly completed Miscellaneous Add On Order reduces disputes, speeds approval and payment, and provides an auditable record of contract changes. It clarifies scope, pricing, and timelines so procurement, finance, and project teams can act consistently and maintain compliance with internal controls and regulatory requirements.

Why a Clear Add On Order Matters

Who Completes and Who Reviews This Form

Typical users prepare the Add On Order and route it for approval.

  • Procurement teams preparing scope changes and new line items for vendor orders.
  • Project managers approving schedule or deliverable changes tied to existing contracts.
  • Finance or accounts payable verifying pricing adjustments and budget impacts.

Multiple stakeholders—requester, approver, and finance—should sign or acknowledge the add on to create a clear, auditable change record.

Step-by-step: completing the Add On Order

Follow these steps in order to ensure the add on is valid, routed correctly, and stored for auditability.

  • 01
Identify Base Contract: Confirm contract number and scope match the requested change.
  • 02
Detail the Change: Itemize goods/services, quantities, and unit pricing.
  • 03
Obtain Approvals: Route to required approvers in the documented order.
  • 04
Execute and Archive: Secure signatures, distribute copies, and store per retention rules.

How the electronic workflow typically flows

A digital workflow reduces handoffs and creates an audit trail; the typical flow below matches common procurement systems.

  • Upload Document: Sender uploads the add on PDF or DOCX to the signing platform.
  • Place Fields: Sender places signature, initials, and date fields where required.
  • Route to Signers: Platform sends signer notifications or generates a signing link.
  • Capture Audit Trail: Signed copy and audit record are saved automatically.

Typical online workflow settings for Add On Orders

Configure these settings when building a reusable online add on order workflow.

Field Configuration
Signing Order Sequential or parallel signing based on approver roles.
Authentication Email link, SMS code, or stronger ID verification when required.
Notifications Automated reminders and completion notices to stakeholders.
Storage Auto-save signed PDF and export to document management system.

Digital signing and file-format considerations

Select a platform that supports the formats and integrations your organization uses.

  • File Types: PDF and DOCX supported.
  • Integrations: Salesforce, NetSuite, MS 365, Google Workspace.
  • Security: TLS and AES encryption required.

Confirm the platform offers audit trails, role-based access, and export options so signed add ons can be archived and shared with finance or ERP systems.

Common mistakes that delay or invalidate add ons

  • Referencing the wrong base contract number, causing misrouting and rejection.
  • Using vague descriptions that leave scope and deliverables open to interpretation.
  • Missing required approvals or signatures which renders the add on unenforceable.
  • Failing to update related schedules, budgets, or change logs used by finance.

Consequences of an incorrect or unauthorized add on

Payment Delay: Late or withheld payment
Contract Voidance: Change rejected as unauthorized
Financial Liability: Unapproved costs borne by requester
Audit Findings: Noncompliance flagged in audit
Regulatory Risk: Breach of industry rules
Dispute Exposure: Increased litigation risk

Core elements to include on a professional Add On Order

Pricing and Payment Terms

Unit price, extended total, payment schedule, and any retention or holdback language to ensure accounting and treasury process payments correctly.

Approval Path

List required approvers, required order of signatures, and any departmental sign-off to enforce internal controls and approval hierarchies.

Change Control Reference

If applicable, reference change order numbers, version history, and attachments such as revised schedules, drawings, or specifications.

Signatures and Attestations

Signature blocks must include printed name, title, date, and any required witness or notary block to validate the amendment.

Real-world examples of add on orders in practice

Two concise case examples show how organizations use add on orders to document changes and speed approvals.

Martin Properties

A property manager needed to add repairs to an existing PO and created an add on referencing the lease agreement and PO number.

  • The add on itemized work, costs, and 30-day completion terms.
  • Using a signed add on reduced dispute time and enabled prompt payment and contract reconciliation across property and accounting teams.

BIS (Dan Rotelli)

An operations team appended additional deliverables to a services contract during a project ramp-up phase.

  • The add on included scope, staffing changes, and new milestones.
  • Capturing approvals and signatures electronically preserved an audit trail and avoided backdated invoices while aligning project management and finance workflows.
