What the Miscellaneous AVM Document Is and when it applies

The Miscellaneous AVM Document is a flexible form used to record, verify, or transfer information related to automated valuation model (AVM) outputs, adjustments, or exception notes that do not fit standard appraisal or closing documents. It captures the AVM result, model parameters, input data sources, any manual overrides or reviewer comments, and the intended use of the valuation result. Organizations use it to preserve a traceable record of valuation decisions, to document reviewer rationale, and to support compliance reviews or audit trails when an AVM is relied on for underwriting, portfolio monitoring, or regulatory reporting.

Why a structured Miscellaneous AVM Document matters

A clear AVM form provides a defensible record of how a valuation was produced, who reviewed it, and any limitations or overrides applied. It supports auditability, reduces disputes over valuation assumptions, and clarifies downstream use for underwriting, servicing, or portfolio analytics while aligning with record retention and compliance requirements under federal frameworks.

Why a structured Miscellaneous AVM Document matters

Typical users and teams that complete this AVM form

Common signers include valuation analysts, underwriting reviewers, risk managers, and closing coordinators who need to record AVM outputs and exceptions before approving a transaction.

  • Valuation Analysts who run AVMs and capture inputs, model version, and confidence scores for internal records.
  • Underwriters who verify AVM suitability, note overrides, and approve use for credit decisions.
  • Risk & Compliance teams who review AVM documentation for audit, model governance, and regulatory reporting.

The document is also used by third parties (investors, auditors, servicers) that require an explicit trail of valuation methodology and reviewer actions.

Who can sign and their responsibilities

Valuation Analyst

Primary operator of the AVM; enters model inputs, selects comparable data sources, records confidence metrics, and signs to attest the output was run according to internal procedures.

Underwriting Reviewer

Second-level reviewer who confirms AVM suitability, documents any manual adjustments or reweighting, and signs to approve the valuation for its intended use in credit decisions or closing.

Essential sections to include in a professional AVM form

A consistent structure improves clarity and auditability. Include sections that cover the AVM result, inputs, model metadata, reviewer notes, signature blocks, and attachments or supporting data so each valuation is reproducible and defensible.

AVM Output

Final valuation amount, confidence score, percentile rank, and any flags indicating limited coverage or geographic data gaps.

Input Data

Source identifiers for comparables, census/block group data, sale dates, and any manual data corrections applied before model run.

Model Metadata

Model name/version, parameters used, date/time of run, and trained-data snapshot identifiers.

Reviewer Notes

Rationale for overrides, threshold breaches, or reasons why AVM is not relied upon without further appraisal.

Signatures

Signer roles, printed name, title, email, signature block, and date/time stamp for each reviewer or approver.

Attachments

Linked reports, screen captures, comparable extracts, and any third-party data vendor receipts supporting the AVM output.

Step-by-step: completing the Miscellaneous AVM Document

Follow these steps in order to ensure the valuation record is accurate, auditable, and ready for downstream use.

  • 01
Upload Inputs: Attach AVM run files, comparable extracts, and data vendor receipts.
  • 02
Record Model Details: Enter model name, version, parameters, and run timestamp.
  • 03
Enter Results: Fill AVM output, confidence score, and any automated flags.
  • 04
Review and Sign: Reviewer documents rationale for overrides and applies electronic signature.

How the form fits into a typical AVM workflow

The form is the central record that travels with the AVM result from model run through approval and into the file repository or loan origination system.

  • Model Run: System executes AVM and generates output and diagnostic flags.
  • Populate Form: Analyst populates fields and attaches supporting data.
  • Reviewer Approval: Underwriter or reviewer evaluates and signs.
  • Archive: Signed document and audit trail are stored for retention.

Recommended digital workflow settings

Configure these settings to preserve chain-of-custody, secure attachments, and produce a reliable audit trail for e-signed AVM records.

Field Configuration
Authentication Email + SMS OTP for reviewers
Required Fields Model Version, Confidence Score, Reviewer Name
Attachments PDF or CSV supporting data; limit 25 MB
Audit Trail Capture IP, timestamp, and action log

Technical considerations for eSubmission and signing

Ensure the chosen platform supports secure attachments, robust audit logs, and multiple signer roles to meet governance needs.

  • File formats: PDF, DOCX, or CSV supported
  • Integrations: Connectors to LOS, CRM, or cloud storage
  • Authentication: Email OTP, SMS, or advanced methods

Platforms should also offer encryption at rest and in transit and role-based access controls to align with internal security policies and applicable regulations.

Timing: when to finalize and store the AVM document

Adhere to internal SLAs and regulatory timelines for record creation and storage to ensure audits and quality checks are completed before loan closing or portfolio reporting.

Finalize Before Closing:

Complete and sign the AVM record prior to loan closing or transaction approval.

Retention Start Date:

Retention begins on the document creation or signature date.

Audit Readiness:

Maintain accessible records for at least the first two years for audits.

Periodic Review:

Review model metadata annually or when model version changes.

Record Updates:

Document any post-signature corrections as amendment entries with timestamps.

Key risks and legal consequences of incorrect AVM documentation

Regulatory Risk: Regulators may cite inadequate records when assessing model governance.
Operational Risk: Missing inputs can invalidate the valuation for underwriting decisions.
Audit Findings: Inconsistent versioning triggers audit exceptions and remediation costs.
Contractual Exposure: Incomplete signatures can undermine enforceability with counterparties.
Fraud Risk: Altered or unsigned records increase exposure to internal fraud.
Data Privacy: Improper handling of PII may violate HIPAA or state privacy laws.

Common preparation and submission errors to avoid

  • Leaving model version or run timestamp blank, which prevents reproducibility.
  • Attaching oversized or non-searchable scanned images that impede review.
  • Using initials instead of a full signature without explicit allowance.
  • Failing to document why a manual override or adjustment was applied.
