Overview: What the Miscellaneous Mylars Template Covers

The Miscellaneous Mylars Template is a standardized, fillable form designed to create large-format archival copies (mylars) for recording plats, surveys, easements, and other land-record exhibits. It centralizes required metadata — legal description, parcel identifier, surveyor certification, scale and north arrow, notary acknowledgement and signature blocks — so the produced mylar meets typical county recorder specifications. Use of a consistent template reduces mechanical rejections, helps preserve map scale and resolution during conversion, and documents chain-of-custody for title work and later reference.

Why a Template Matters for Recording and Title Accuracy

A well-formed mylars template reduces recording rejections, standardizes required metadata, and preserves legal certainty for property boundary records while making review by surveyors and recorders more efficient.

Why a Template Matters for Recording and Title Accuracy

Who Commonly Prepares and Files Miscellaneous Mylars

Using the template promotes consistent submissions across these user groups and reduces back-and-forth over format and missing elements.

  • Land surveyors and civil engineers who draft plats and need consistent certification blocks for county recording.
  • Title companies and closing agents who rely on recorded mylars to clear title and produce closing documents.
  • County recorder offices and municipal land-use departments that require uniform submissions to streamline indexing.

Essential Elements Included in the Template

A professional Miscellaneous Mylars Template groups the technical and legal elements into clear sections so surveyors, signers, and recorders can verify compliance at a glance.

Document Header

Title, project name, and parcel ID placed in a consistent header for indexing and quick county reference during intake and indexing procedures.

Legal Description

Full metes-and-bounds or lot-and-block description formatted as a discrete block; precise text avoids boundary ambiguity and helps title searches.

Surveyor Certification

Surveyor name, license number, seal area, and attestation language for certification that the map meets professional surveying standards.

Notary Acknowledgement

Standard notary block sized for state acknowledgment language, including space for date, venue, and notary signature and seal.

Scale and Legend

Scale bar, north arrow, units, and legend area with required line weights and symbology to preserve accurate reproduction on the mylar.

Attachment Checklist

Space for listing accompanying exhibits (e.g., easements, legal descriptions, affidavits) so the recorder can link related records.

Step-by-Step: Preparing and Submitting a Mylars Package

Follow these four sequential steps to prepare a mylar for recording and reduce the risk of rejection.

  • 01
Prepare Draft: Assemble map, legal description, and exhibits; confirm scale and margins.
  • 02
Populate Template: Enter parcel ID, owner, surveyor details, and checklist items.
  • 03
Notarize & Sign: Have signers execute in presence of notary per state requirements.
  • 04
Record with County: Submit original mylar and required copies to the county recorder or register of deeds.

Process Flow: From Template to Recorded Mylars

A clear workflow helps teams coordinate drafting, authentication, and submission for recorded mylars.

  • Create Template Instance: Duplicate template and fill required fields for the specific parcel.
  • Validate Technical Specs: Confirm scale, bleed, and resolution before exporting.
  • Authenticate Signatures: Obtain notarization or remote notarization where permitted.
  • Submit to Recorder: Deliver original mylar and copies per county instructions for recording.

Digital Workflow Settings to Use When Preparing Mylars

Configure your digital workflow with these key settings to preserve map fidelity and support recorder requirements.

Field Configuration
Signing Order Notary before county official
File Format PDF/A or high-resolution TIFF recommended
Margin Guidelines Follow county bleed and margin specs
Image Compression Lossless compression to prevent map artifacts

Technical Compatibility and Platform Considerations

Choose tools that preserve image fidelity and provide a verifiable audit trail for signatures and notarizations; validate against your county recorder's submission checklist.

  • File Formats: PDF, PDF/A, TIFF are commonly accepted by recorders.
  • Integrations: Connectors to GIS, NetSuite, Box, or Procore streamline attachments and indexing.
  • Authentication: Support for notarization (in-person or RON) and audit trails is essential.

Potential Consequences of an Incorrect or Incomplete Mylars Submission

Recorder Rejection: Resubmission delays
Title Clouding: Inaccurate descriptions risk future disputes
Priority Loss: Late recording can affect lien or interest priority
Notary Defect: Invalid acknowledgment may void recordation
Data Corruption: Poor resolution hampers long-term legibility
Legal Exposure: Errors increase litigation and remediation costs

Common Preparation Errors to Avoid

  • Submitting scans with insufficient resolution or incorrect scale, causing the recorder to request a new original and delaying indexing.
  • Omitting the required notary venue or failing to match signer names to recorded title documents, producing a defective acknowledgement.
  • Using inconsistent legal descriptions or truncated metes-and-bounds that do not exactly match deed language, creating title ambiguity.
  • Failing to comply with county-specific margin, size, or original-mylar requirements; many counties reject documents that do not meet local specs.

Practical Tips for Accurate and Efficient Mylars Preparation

Adopt these practices to improve acceptance rates, maintain legal certainty, and streamline recording.

Verify County Requirements First
Consult the county recorder's published checklist for mylars before preparing documents; local specifications often dictate sheet size, margin, and original vs. copy requirements.
Preserve Image Quality
Export final artwork as high-resolution PDF/A or lossless TIFF; avoid lossy compression and verify scale bars and text legibility at full-size print dimensions.
Confirm Signer Identity
Match signer names to title records, collect required identification for notarization, and retain a copy of ID per best practices for authentication and audit.
Maintain an Audit Trail
Record dates, version history, reviewer names, and notarization details in a submission log to support chain-of-custody and conflict resolution if questions arise.
