What the Miscellaneous Post CD Template Is

The Miscellaneous Post CD Template is a standardized form used to record and communicate adjustments, clarifications, or supplemental information that arise after a Closing Disclosure (CD) has been issued and a real estate closing has occurred. It consolidates minor post-closing fee corrections, credits, clerical updates, and administrative notes into a single, auditable record intended for lenders, title companies, settlement agents, and borrowers. The template helps preserve a clear chain of transaction events, supports reconciliation of final accountings, and documents actions taken after consummation that do not require full re-disclosure under federal mortgage rules.

Why a Clear Post-Closing Record Matters

A concise post-CD template reduces ambiguity about post-closing adjustments and supports compliance, auditability, and accurate ledger reconciliation.

Why a Clear Post-Closing Record Matters

Who Typically Completes This Template

This form is usually prepared by settlement agents, closing attorneys, title officers, or lender post-closing teams to capture non-material updates after closing.

  • Settlement agents and title officers who reconcile final settlement statements and record adjustments.
  • Lender post-closing or servicing teams documenting fee corrections and funding reconciliations.
  • Borrowers receiving notice of minor credits, refunds, or clerical corrections after closing.

Copies are shared with borrowers, lender servicing, and title insurers so all parties have the same post-closing record.

Typical Signatories and Their Roles

Settlement Officer

A licensed title or closing agent who prepares the post-CD entry, verifies supporting receipts, and certifies that adjustments reflect the final accounting. They coordinate recording updates and notify lender and borrower of corrections.

Lender Representative

A post-closing reviewer or servicing agent who confirms lender-side credits, approves funding reconciliations, and signs to acknowledge receipt of the corrected totals or administrative notes on behalf of the lending institution.

Core Elements Every Professional Template Should Include

A complete template organizes the post-closing item, identifies affected parties, cites the original CD line item or document reference, records the adjustment amount, lists supporting documents, and captures signatures with timestamps and authentication details.

Document Reference

Identify the original Closing Disclosure date and reference number to ensure the post-CD entry ties to the correct transaction record.

Adjustment Description

Concise description of the correction, fee, credit, or clerical update and why the change was necessary.

Monetary Amount

Exact dollar value of the adjustment, including whether it increases or decreases the borrower’s net pay or the lender’s disbursement.

Supporting Attachments

List of receipts, invoices, endorsements, or revised calculations attached to substantiate the change.

Signatures & Dates

Signature blocks for preparer, lender representative, and borrower with date and authentication method noted.

Audit Trail

Metadata including who edited the entry, timestamps, IP address or device, and version history for compliance and dispute resolution.

Step-by-Step: Filling Out the Post-CD Template

Follow these sequential steps to ensure proper documentation, approval, and distribution of post-closing adjustments.

  • 01
Identify Issue: Confirm the discrepancy and gather supporting documents.
  • 02
Record Adjustment: Enter the original CD reference and precise adjustment amount.
  • 03
Obtain Approvals: Have lender and title sign or electronically acknowledge the entry.
  • 04
Distribute Copies: Send final signed record to borrower, lender, and insurer.

Common Digital Workflow Settings

Configure your e-sign and routing workflow so each signer receives the correct fields, authentication, and copies automatically.

Field Configuration
Signature Authentication Email link with optional SMS code or KBA
Routing Order Sequential: preparer → lender → borrower
Attachment Requirements Require PDF attachments before final signature
Retention Setting Enable audit trail and 7-year archival export

How Post-CD Electronic Processing Typically Works

An electronic workflow reduces delays: prepare the entry, authenticate signers, capture signatures, and archive the signed record.

  • Prepare Form: Populate fields and attach supporting documents.
  • Authenticate: Use email, SMS code, or stronger ID verification.
  • Sign: Each party signs and dates the entry.
  • Archive: Store the executed record with audit metadata.

Technical and Integration Considerations

Ensure the eSignature platform supports secure attachments, audit trails, and the authentication level required by your organization.

  • Document Formats: PDF, DOCX, or scanned images supported
  • Integrations: CRM/ERP and cloud storage integrations available
  • Audit Capabilities: Detailed action logs and exportable certificates

Security and Compliance Essentials

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamped events, IP, and user actions
Access Controls: Role-based permissions and SSO
HIPAA Support: BAA available where required
21 CFR Compliance: Features meeting Part 11 requirements
Accessibility: WCAG 2.0 Level AA support

Common Risks and Potential Consequences

Funding Delays: May delay lender disbursement
Recording Issues: Incorrect data can hinder county recording
Consumer Disputes: Unclear entries may lead to borrower complaints
Regulatory Scrutiny: Documentation gaps can attract audits
Reputational Risk: Errors may damage trust with partners
Accounting Mismatch: Ledger reconciliation failures increase workload

Frequent Preparation Errors to Avoid

  • Entering the wrong CD reference number, which breaks the audit trail and complicates reconciliations.
  • Using inconsistent date formats across attachments leading to ambiguity in when corrections took effect.
  • Failing to attach source invoices or receipts, making verification slow and increasing dispute risk.
  • Not capturing signer authentication metadata, which weakens evidence of consent and attribution.

Typical Timelines and Processing Expectations

Expect variable timelines depending on parties, county recording speed, and whether additional approvals are required.

Lender Review:

1–3 business days for standard post-closing reviews

Recording Window:

County recording commonly completes in 3–15 business days

Borrower Acknowledgment:

Often requested within 5–10 business days of notice

Funding Adjustment:

Refunds or small credits processed within 7–14 business days

Audit Availability:

Final executed record should be exportable immediately after signing

Real-World Examples and Outcomes

These concise case summaries illustrate how the template supports post-closing workflows in practice.

Martin Properties — Tim Martin

After closing we identified an escrow miscalculation and logged a $275 credit on a post-CD entry.

  • The borrower accepted the documented credit.
  • The clear record enabled quick reimbursement, avoided re-issuing the CD, and shortened the reconciliation cycle for the title company.

Fertility Centers — John Butler

A minor administrative fee was charged in error and documented using a post-CD template.

  • The lender approved a refund.
  • Having the signed adjustment and invoice attached reduced dispute time and preserved audit evidence for both the clinic and servicer.

Practical Tips for Accurate and Efficient Completion

Apply consistent naming, include verifiable attachments, and use electronic workflows to reduce manual rework and preserve auditability.

Standardize References
Always use the original Closing Disclosure reference and transaction ID to ensure the post-CD entry links cleanly to accounting and title records.
Require Attachments
Make supporting documents mandatory for non-zero monetary adjustments to accelerate approvals and reduce follow-up.
Use Strong Auth
Select an authentication level appropriate to risk—email+SMS for routine adjustments; KBA or ID analysis for higher-risk corrections.
Retain Metadata
Preserve signature timestamps, IP address, and version history to support audits and dispute resolution.
