Notarization, witness, and remote notarization steps

Follow these steps when a signature requires additional authentication such as a witness or notary; adjust if remote online notarization (RON) is available.

Verify Requirement

Confirm whether the document needs a notary or witness under applicable state law.

02

Identity Proofing

Use government ID and, for RON, multi-factor identity verification such as KBA or credential analysis.

03

Witness Presence

Ensure required witnesses are physically present unless the state permits electronic alternatives.

04

Audio-Video Record

For RON, retain A/V recording where required (typically 5–10 years).

05

Notary Entry

Notary completes journal entry with date, ID method, and session details.

06

Sign in Order

Follow signing order defined in the workflow to avoid invalidation.

07

Attach Certificate

Include notary certificate or RON session log with the document.

08

Practical tips for quick and accurate completion

Small quality checks reduce rework and protect enforceability; adopt these practical habits.

Confirm legal names
Use the signer's official company or legal name as shown on corporate filings or government ID. Mismatches can cause authentication failures or payment delays and often require re-execution of the document.
Number pages and attachments
Label attachments and reference them in the action description. Page numbers and an attachments index prevent misplaced files during review or audit and make it easier to validate what was provided at signing.
Use consistent dates
Record event, effective, and signature dates using MM/DD/YYYY to avoid regional ambiguity. Consistency is important when calculating deadlines and retention periods across jurisdictions.
Preserve audit trails
Retain the platform-generated audit trail (IP, timestamp, signer email) with the final signed PDF. Audit evidence supports enforceability under ESIGN and helps resolve disputed signatures.
