Acknowledgment and Certification

By signing below, Landlord/Agent and Tenant certify that the information set forth on this move-in checklist accurately describes the visible condition of the premises at the time of move-in, except for items specifically noted. Tenant acknowledges receipt of keys and operational instructions for listed appliances and systems unless otherwise noted. Tenant must notify Landlord/Agent in writing of any additional defects or damage not recorded herein within seven (7) calendar days of the move-in date. Failure to timely notify does not relieve the Landlord/Agent of obligations imposed by law.

Tenant understands that normal wear and tear is distinct from damage and that deductions from the security deposit may be made for damage beyond normal wear and tear as permitted by the lease and applicable law. This checklist is incorporated into and made part of the Lease as an inventory and condition report and, together with the Lease, constitutes the entire written record of the premises condition at move-in.

Governing Law: This checklist shall be governed by the laws of the state identified in the lease and interpreted consistent with that lease. Any disputes concerning the condition of the premises at move-in shall be resolved pursuant to the dispute resolution provisions of the lease.

What the Move-in Checklist Template Is and when to use it

A Move-in Checklist Template is a standardized form used by landlords, property managers, and tenants to document the condition of a rental unit at the start of occupancy. It captures items such as flooring, walls, appliances, meter readings, and existing damage with notes and photographs. A well-structured checklist reduces disputes over security deposits, clarifies repair responsibilities, and creates a dated record of condition that can be retained with the lease file for compliance and audit purposes.

Why a consistent checklist matters for move-ins

Using a consistent Move-in Checklist Template protects both tenants and owners by creating a contemporaneous, signed record of unit condition, which supports deposit accounting and repair decisions while reducing turnover disputes.

Why a consistent checklist matters for move-ins

Typical users of a Move-in Checklist Template

The template serves property owners, on-site managers, tenants, leasing agents, and maintenance staff who need a reliable handoff record before occupancy begins.

  • Property managers and landlords who operate multi-unit portfolios and need consistent documentation across properties.
  • Tenants and guarantors who want a clear record to avoid unfair security deposit deductions.
  • Maintenance and inspection staff who use the checklist to prioritize repairs and schedule follow-up work.

Clear documentation benefits every party by making condition, responsibility, and next steps explicit at move-in.

Step-by-step: completing the Move-in Checklist

Follow these steps at or before tenant possession to create a reliable, signed record of unit condition.

  • 01
Prepare Template: Load standard checklist and pre-fill lease and unit data.
  • 02
Inspect Property: Walk each room, note issues, and take dated photos.
  • 03
Record Details: Enter item-level notes, meter readings, and appliance serials.
  • 04
Sign and Distribute: Obtain signatures from tenant and manager; provide copies to both parties.

How electronic completion and delivery typically works

Digital workflows streamline distribution, signing, and archival while preserving an audit trail for each action taken on the checklist.

  • Upload Document: Upload the checklist PDF or DOCX to the signing platform.
  • Place Fields: Add signature, date, and photo-attachment fields before sending.
  • Signers Receive Link: Tenant and manager receive secure signing links or emails.
  • Audit Trail Captured: Platform records timestamps, IPs, and completion history.

Recommended digital workflow settings for a Move-in Checklist

Use these settings to reduce signer friction while protecting evidentiary value and compliance.

Field Configuration
Signature Type Allow click-to-sign and drawn signatures
Photo Attachment Require at least one photo per room
Authentication Email link plus optional SMS code
Retention Auto-archive signed file to property folder

Digital delivery and platform considerations

Choose a platform that supports PDFs, mobile signing, and a tamper-evident audit trail for legal defensibility.

  • File formats: PDF, DOCX, and image attachments supported
  • Integrations: Works with property management CRMs and cloud storage
  • Access control: Role-based access and signer authentication

Confirm platform encryption in transit and at rest, and ensure retention policies meet your recordkeeping requirements.

Timing and common deadlines associated with move-in checklists

Certain actions around move-in checklists are time-sensitive; follow common industry timelines to reduce disputes.

Provide Checklist:

Give tenant the checklist at or before possession

Report Issues:

Tenant should report pre-existing damage within 7–14 days

Complete Repairs:

Schedule agreed repairs within the timeframe in the lease

File Signed Copy:

Store executed checklist with lease immediately

Deposit Reconciliation:

Use checklist when settling deposit at move-out

Key milestones from lease signing to retention

Track these sequential milestones to ensure the checklist is effective at protecting both parties and supporting accounting.

01

Pre-Move Inspection

Walk unit and document existing condition before keys transfer

02

Move-in Recording

Complete checklist and collect signatures on possession date

03

Dispute Window

Allow tenant a short period to report missed items

04

Archive File

Store executed checklist with tenant records for retention period

Common mistakes to avoid when using a Move-in Checklist Template

  • Failing to take dated photos for each reported defect, which weakens evidence during deposit disputes.
  • Leaving fields blank or using vague language like 'good' instead of precise descriptions and measurements.
  • Not matching names or dates on the checklist to the lease, creating ambiguity about who signed and when.
  • Failing to distribute a signed copy to all parties immediately; lack of distribution increases contestability.

Risks and potential consequences of a deficient checklist

Deposit Disputes: Higher risk of contested deductions
Repair Liability: Unclear records can shift repair costs incorrectly
Legal Claims: Documentation gaps may result in small-claims suits
Delayed Billing: Inaccurate meter readings delay utility chargebacks
Regulatory Risk: Missing disclosures risk state compliance issues
Data Loss: Lack of retention increases inability to prove condition

Security, compliance, and storage essentials

Encryption: AES-256 at rest; TLS 1.2/1.3 in transit
Access Controls: Role-based access and audit logging
Audit Trail: Timestamps, IP addresses, and action logs
HIPAA BAA: BAA required when handling PHI
ESIGN / UETA: Electronic signatures valid under ESIGN/UETA
Storage Location: Cloud or on-premise retention with versioning
