What the Move Instructions Document Is

The Move Instructions Document is a written record that specifies how personal property or equipment will be packed, handled, transported, and delivered during a relocation. It commonly includes pickup and delivery addresses, appointment windows, access instructions, itemized inventory with handling notes, valuation and insurance choices, and contact details for shipper and carrier. The form aligns expectations between parties, documents accepted services, and—when executed electronically in compliance with ESIGN and applicable state law—serves as an enforceable record of instructions and authorizations.

Why Clear Move Instructions Reduce Risk

A clear Move Instructions Document reduces misunderstandings, supports accurate billing, and documents liability and service expectations. It provides a single record for scheduling, access directions, and special handling that insurers and carriers will reference in claims or disputes.

Why Clear Move Instructions Reduce Risk

Who Prepares and Signs a Move Instructions Document

Movers, relocation coordinators, property managers, and customers use the Move Instructions Document to confirm pickup, delivery, inventory, and handling requirements before transit.

  • Residential customers verifying household inventory, fragile items, and access instructions.
  • Moving company dispatch teams coordinating crews, vehicle size, and equipment needs.
  • Third-party logistics or corporate relocation managers managing multiple shipments and timelines.

The document serves both operational and legal roles: it instructions crews, informs insurers, and documents acceptance or rejection of services at delivery.

Step-by-Step: Preparing and Executing the Move Instructions Document

Follow this sequence to prepare, verify, and finalize move instructions before pickup so all parties share a single, auditable record.

  • 01
Prepare Inventory: Create an itemized list with quantities and special handling notes.
  • 02
Confirm Addresses: Verify full pickup and delivery addresses and access details.
  • 03
Set Dates and Windows: Enter appointment dates, preferred times, and contingency options.
  • 04
Sign and Distribute: Collect signatures and circulate copies to all involved parties.

How the Move Instructions Document Flows Between Parties

This document typically moves from preparer to carrier to recipient, with each step recording acceptance, timing, and any agreed exceptions to create an auditable chain.

  • Upload Document: Sender uploads the form and positions fields for signatures and dates.
  • Assign Signers: Add signer emails or generate secure signing links for parties.
  • Signer Completes: Signers review, sign, and submit; platform captures metadata.
  • Archive Record: Store the final signed copy and audit trail for retention.

Configuring Online Workflows for Electronic Move Instructions

Recommended workflow settings help enforce signer order, authentication strength, and automatic archiving of final records.

Field Configuration
Signer Authentication Email link; optional SMS one-time code
Routing Order Sequential or parallel signer order setting
Notifications Email reminders and completion alerts sent automatically
Document Retention Auto-archive signed documents and audit trail

Delivery Methods and Integration Considerations

Choose delivery channels that match signer capability and legal needs: email link, secure portal, or in-person signing.

  • Email Link: Secure guest signing via a one-time URL.
  • In-Person Kiosk: On-site signing using a shared device and witness.
  • Integrated API: Automated send and record via platform integrations.

Common Preparation Errors to Avoid

  • Incomplete delivery or pickup addresses leading to rerouting, delays, or additional charges.
  • Missing or vague access instructions (codes, parking, elevator reservations) that force rescheduling.
  • Unclear inventory descriptions or no supporting photos, complicating damage and loss claims.
  • Mismatched names or missing signatures that delay verification or trigger insurer rejections.

Consequences of an Incorrect Move Instructions Document

Denied Claims: Insurance denial risk.
Billing Disputes: Extra charges or contested invoices.
Service Delays: Rescheduled pickups or deliveries.
Liability Shift: Carrier liability may be limited.

Essential Sections of a Professional Move Instructions Document

A complete Move Instructions Document contains sections that make obligations, handling, and acceptance clear to all parties and to insurers.

Parties and Contacts

Identify shipper, consignee, carrier, and any agent with full names, phone numbers, and email addresses so responsibilities and notices can be delivered and tracked accurately.

Effective Dates and Windows

Specify effective date, pickup appointment windows, and delivery windows. These dates determine carrier obligations, storage start times, and may affect claim or cancellation timelines.

Pickup and Delivery Addresses

Provide complete physical addresses, unit numbers, building codes, elevator reservations, unloading locations, and parking instructions to avoid access delays and additional crew time.

Inventory and Condition

Use an itemized inventory with counts, condition notes, and photos. Clear item descriptions simplify valuation, insurance reviews, and damage adjudication.

Insurance and Valuation

State selected valuation coverage, declared value per shipment, and insurer contact details. Clear valuation terms influence liability caps and claim recoveries.

Signature, Acceptance and Terms

Include signature blocks for all parties with printed names, titles, and dates. Record acceptance, exceptions, and any conditional approvals to create an enforceable record.

Practical Tips for Accurate and Efficient Move Instructions

Adopt these best practices to reduce disputes, speed execution, and preserve recoverable evidence for claims and audits.

Use Complete Addresses and Access Instructions
Provide full street addresses, unit numbers, elevator reservations, parking rules, and gate codes. Missing or vague access information is a leading cause of rescheduling and extra charges; include contact phone numbers for local coordination.
Attach Photographic Evidence
Photograph high-value or fragile items and the pre-move condition of premises. Stamped photos attached to the instructions reduce contested concealed damage claims and support timely insurance recovery.
Specify Valuation and Insurance Options
Record declared value, chosen coverage, and insurer contact details on the form. Clear valuation choices determine recovery limits and speed claims handling when loss or damage occurs.
Preserve the Audit Trail and Retain Records
Ensure electronic signatures include timestamp, IP, and signer attribution. Retain the signed document and audit metadata for the applicable retention period to support any future disputes or regulatory needs.
