What the Multi Location Service Agreement Is

A Multi Location Service Agreement is a contract that defines terms, responsibilities, pricing, and service levels for a vendor that will provide recurring or project-based services across two or more physical sites. It consolidates site-specific schedules, scope-of-work attachments, billing and invoicing rules, insurance and indemnity language, service-level metrics, and change-order procedures into a single master document to reduce duplication and ensure consistent enforcement across jurisdictions and business units.

Why a Centralized Agreement Matters

A single Multi Location Service Agreement reduces administrative overhead, standardizes liability and insurance language across sites, and limits conflicting local terms that can increase risk and cost.

Why a Centralized Agreement Matters

Who Typically Prepares and Signs These Agreements

Organizations and vendors who manage work across multiple addresses rely on this agreement to centralize terms and controls.

  • Property managers and real estate firms coordinating maintenance across portfolios.
  • Healthcare systems managing services at multiple clinics or facilities.
  • Franchisors, retailers, and chains requiring standard vendor terms across outlets.

Use the agreement to ensure consistent pricing, reporting, and compliance at each covered location while preserving site-level exhibits where needed.

Core Sections to Include in a Professional Agreement

A well-drafted Multi Location Service Agreement combines a master services framework with modular exhibits for each site, clarifying scope, pricing, SLAs, insurance, termination, and assignment rules.

Scope of Work

Describe services at a master level and reference per-location exhibits that detail tasks, frequencies, and site-specific exclusions for clarity and enforcement.

Pricing

Specify master pricing formulas, per-site price schedules, invoicing cadence, allowable taxes, and any location-based surcharge rules to avoid billing disputes.

Service Levels

Define measurable KPIs, response and remedy timelines, credits or penalties, and the process for measuring SLA performance at each location.

Insurance

Require vendor insurance types, minimum limits, additional insured endorsements, and site-specific coverage where facilities or regulatory risk differs.

Termination

Include termination for convenience, breach, and site-specific termination mechanics, plus obligations for transition and final billing at each location.

Change Orders

Document how changes to scope, schedule, or pricing are approved, executed, and applied to one or more locations to prevent scope creep.

Step-by-Step: Completing the Agreement

Follow these sequential steps to draft, review, and execute a Multi Location Service Agreement efficiently.

  • 01
Prepare Master: Draft master terms, scope, pricing rules, and dispute resolution clauses.
  • 02
Add Exhibits: Create per-site exhibits listing addresses, site contacts, and site-specific scope.
  • 03
Legal Review: Have counsel check indemnity, insurance, and choice-of-law provisions for multi-jurisdictional risk.
  • 04
Execute: Collect authorized signatures and date each exhibit as required.

How to Configure an Online Signing Workflow

Set up a consistent digital workflow so each site exhibit follows the master agreement and signs in the correct order.

Field Configuration
Signing Order Sequential signer order with conditional branches for regional approvals
Authentication Email link, SMS code, or advanced signer authentication per site risk
Document Versioning Lock master terms; allow only exhibit edits to preserve master integrity
Integrations Connect to contract repository, billing system, or ERP for automatic record updates

Where to Send and Store the Agreement

A clear routing path ensures signed copies are delivered to legal, operations, and the site contact without manual handoffs.

  • Upload: Store the master and exhibits in a centralized contract repository.
  • Route: Send to legal and site stakeholders for review and approval.
  • Sign: Collect signatures using eSignature with audit trail and authentication.
  • Archive: Retain executed master and per-site exhibits in secure storage.

Digital Signing and Platform Considerations

Choose a platform that supports role-based signing, site-specific exhibits, audit trails, and integrations with your systems.

  • Integrations: Salesforce, NetSuite, Microsoft 365, Google Workspace supported
  • Document Formats: PDF, Word DOCX, and Excel are commonly accepted
  • Security: TLS 1.2/1.3 in transit; AES-256 at rest

Typical Timelines and Notice Periods

Establish clear dates and notice windows to reduce disputes about performance and termination at the location level.

Effective Date:

Date when master and exhibits begin applying to all sites

Invoice Payment Terms:

Commonly Net 30; include dispute and hold procedures

Termination for Convenience:

Often 30–90 days’ written notice across affected locations

Renewal Notice:

60–90 days advance written notice for non-automatic renewals

SLA Cure Period:

Define cure windows (e.g., 10–30 days) before remedies apply

Key Milestones From Draft to Site Implementation

Track milestones to coordinate rollout across multiple locations and to ensure each site receives necessary onboarding.

01

Master terms and all exhibits finalized for review

02

03

Common Pitfalls to Avoid

  • Inconsistent site exhibits that conflict with master terms and create enforcement gaps.
  • Missing site-specific insurance endorsements that expose the client to uncovered losses.
  • Unclear billing rules causing delayed payments and invoice disputes across locations.
  • Lack of signer authority verification leading to invalid or unenforceable signatures.

Risks and Consequences of Errors

Contract Ambiguity: May void remedies or require expensive litigation
Incorrect Parties: Could prevent enforcement against intended entity
Missing Insurance: Leaves organization financially exposed to claims
Late Notices: Loss of termination rights or waiver of remedies
Improper Signing: Electronic signatures without consent evidence can be challenged
Noncompliance: Regulatory fines or contract repudiation in regulated sectors

Required Data Elements and Security Controls

Service Locations: Full street addresses for each site
Site Contacts: Name, role, email, and phone for each location
Scope Attachments: Signed exhibits describing per-site tasks
Insurance Details: Carrier, policy number, limits, and endorsements
Billing Information: Invoice recipient and payment instructions
Signature Audit: Timestamp, IP, and authentication method logged

Real-World Examples of Multi Location Agreements

These short examples show how different sectors adapt a master agreement with location-specific exhibits and operational attachments.

Martin Properties

A regional property manager adopted a master agreement to cover 45 buildings across three states

  • Consolidated pricing and insurance reduced inconsistencies
  • The standardized approach cut contract admin time and improved vendor compliance while allowing tailored service schedules per property.

Fertility Centers

A multi-clinic healthcare provider used a master services agreement with HIPAA addenda for each site

  • Patient data protections were appended per facility
  • The structure ensured consistent security controls, simplified vendor audits, and kept site-level operational differences documented.

Who Has Authority to Sign on Behalf of a Party

Regional Manager

Regional managers may sign if delegated authority is documented in a corporate resolution or delegation policy; verify limits to monetary authority and termination rights before accepting signatures.

Authorized Agent

An authorized agent with written signing authority or power of attorney can execute site exhibits, but organizations should verify authority and retain supporting delegation documents.

Practical Tips for Accurate and Efficient Completion

Adopt standard operating procedures and templates to reduce review cycles and ensure consistent site-level compliance.

Use a Master Template
Maintain a single master agreement and enforce per-site exhibits for operational details; this reduces variation, simplifies renewals, and limits legal review to material deviations.
Standardize Billing
Require a single billing contact and standardized invoice fields for all locations to speed processing and reduce disputes; include late payment remedies for cross-site collections.
Verify Signatory Authority
Collect written delegations, corporate resolutions, or board approvals where needed; cross-check signer names and titles against official records to prevent invalid signatures.
Keep Audit Trails
Use eSignature platforms that record timestamp, IP, and authentication; maintain copies of executed master and exhibits for audit and dispute resolution.
