Common preparation mistakes to avoid

  • Incomplete serial numbers or vague condition notes that complicate damage claims and insurance coverage determination.
  • Failing to attach dated photos at handover, which often leads to contested liability for finish or hardware damage.
  • Not specifying insurance limits or requiring a certificate of insurance, leaving parties exposed to out‑of‑pocket repairs.
  • Allowing unsigned or undated documents to govern custody; unsigned forms are difficult to enforce in disputes.

Potential penalties and contract risks

Damage Liability: Repair or replacement costs
Late Return Fee: Per‑day penalty
Insurance Denial: Claim rejection risk
Lost Instrument: Full replacement obligation
Tax Reporting: Income/event fees reporting
Contract Dispute: Legal fees and delay
