What a News Release Template Is and when it’s used

A News Release Template is a standardized press release layout used to announce company news, product launches, executive appointments, funding, or event information to media outlets and stakeholders. It organizes key elements—headline, dateline, lead paragraph, boilerplate, contact details, and multimedia references—so authors can produce consistent, media-ready notices quickly. Templates help ensure essential facts and legal disclaimers are present, preserve an organization’s voice across announcements, and make distribution through email, wire services, and online media sections efficient and trackable.

Why use a standardized News Release Template

A template ensures accuracy, speeds preparation, and maintains consistent messaging when multiple authors or departments issue statements. It reduces omissions and improves media pickup by organizing journalists’ expected fields.

Why use a standardized News Release Template

Who typically prepares and approves news releases

News releases are commonly prepared by communications teams and approved by legal, leadership, or product owners before distribution.

  • Public relations and communications: draft headline, lead, quotes, and distribution list; ensure journalist format.
  • Legal and compliance teams: review claims, required disclaimers, and regulated-industry language for accuracy.
  • Executive or product owners: approve quotes, timing, and strategic messaging before publication.

Coordinated review and a clear approval authority reduce legal risk and prevent inconsistent public statements.

Essential components to include in the News Release Template

A professional release contains a concise headline, dateline, descriptive lead, supporting details, a verified quote, boilerplate company background, and contact information. Each element has an expected purpose and placement that journalists rely on when evaluating and reprinting content.

Headline

A clear, active five- to twelve-word headline that conveys the core news and attracts attention without hyperbole or unsupported superlatives.

Dateline

City and state plus release date in the format City, ST — MM/DD/YYYY or Month DD, YYYY to show timing for reporters.

Lead paragraph

One-to-two sentences answering who, what, when, where, why and how. Put the most newsworthy facts first.

Supporting details

Two to four short paragraphs that expand the story with context, statistics, and explanatory facts without editorializing.

Quote

A short attribution from an authorized spokesperson that adds perspective and cannot introduce new legal or regulatory claims.

Boilerplate & contacts

Company boilerplate (2–4 sentences) plus media contact name, phone, and email; provide multimedia links or assets reference.

Required data elements to include in every release

Headline: Concise event summary
Dateline: City, state and release date
Lead: Who/what/when/where/why
Quote: Authorized spokesperson
Boilerplate: Company background
Media contact: Name, phone, email

Step-by-step: Create and approve a news release

Follow these steps to draft, review, and distribute a compliant, media-ready news release that minimizes errors and accelerates pickup.

  • 01
Draft content: Complete template fields: headline, dateline, lead, details, quote, boilerplate, media contact.
  • 02
Internal review: Submit to legal and appropriate stakeholders for factual and compliance checks.
  • 03
Approval: Obtain sign-off from authorized executive or communications lead and document the approver.
  • 04
Distribute: Send via email, wire service, or post to the company newsroom per distribution plan.

How to set up an online workflow for issuing releases

Configure a simple approval workflow and asset repository to reduce manual handoffs and keep a clear audit trail of who approved each release.

Field Configuration
Drafting Use templated fields and required validation
Reviewer assignment Route to legal, communications, and execs in sequence
Approval Require explicit approver name and timestamp
Asset storage Attach multimedia to a central content library

Where to send and how to submit a finalized release

Choose distribution channels based on audience and geographic scope. Provide clear delivery instructions so recipients can access assets and verify accuracy.

  • Email to media list: Send a plain-text email with the release and attachments to targeted reporters and editors.
  • Wire services: Submit to national or industry wire services for broader distribution per their formatting rules.
  • Company newsroom: Post the full release and downloadable assets to the website newsroom or press center.
  • Social channels: Share a short summary and link; include assets sized for each platform.

Digital tools and file formats for distribution

Use standard file formats and metadata to ensure compatibility with media systems and content management platforms.

  • File formats: Use PDF and DOCX for text; JPEG/PNG for images; MP4 for video.
  • Metadata: Include captions, photographer credit, and usage terms in file properties.
  • Integrations: Connect with CMS, Google Workspace, and cloud storage for centralized access.

Clear file naming, embedded metadata, and standard formats reduce follow-up requests and speed journalist use of assets.

Timing and embargo considerations

Set and communicate publication windows and embargoes clearly. Improper timing or unclear embargo instructions can cause legal or reputational problems.

Embargoed releases:

State embargo time and time zone explicitly; avoid ambiguous phrases like 'soon' or 'later today'.

Market-sensitive timing:

Coordinate with investor relations for releases about earnings or material events to comply with securities rules.

Event-driven timing:

Publish at a time that maximizes journalist availability, commonly early morning U.S. ET.

Correction windows:

Specify how corrections will be handled and who authorizes them after publication.

Post date flags:

If updating a release, clearly mark revisions with date and version note.

Common mistakes to avoid when preparing a news release

  • Using promotional or vague language that reporters will edit out or decline to use.
  • Missing or incorrect media contact details that prevent follow-up or verification.
  • Including unapproved forward-looking statements without legal review.
  • Failing to label embargoes or image usage rights, leading to misuse or legal disputes.

Risks and potential consequences of inaccurate or noncompliant releases

Regulatory exposure: False or misleading statements about securities or regulated products can trigger enforcement actions.
Contract breaches: Disclosing third-party confidential information may violate NDAs and create liability.
Reputational harm: Inaccurate facts can damage trust and require public corrections.
Copyright issues: Using third-party images without rights can incur takedown notices and damages.
Privacy breaches: Publishing personal data without consent may violate privacy laws such as state privacy statutes.
Media blacklisting: Repeated errors can reduce future media coverage and responsiveness.
