What the Notary Information Datasheet Is

The Notary Information Datasheet is a standardized record used to collect the essential identity, contact, and transaction details needed for notarization or remote online notarization sessions. It centralizes party names, government ID data, document titles, signature blocks, notarization type (in-person or RON), and consent language so notaries and signing agents can complete acknowledgements, jurats, or certificates consistently. Organizations use the datasheet to speed scheduling, reduce errors in identity proofing, and maintain a single record that supports audit trails, retention rules, and post-closing queries from counsel or regulators.

Why a Standardized Datasheet Matters

A consistent Notary Information Datasheet reduces signature errors, simplifies identity verification, and creates a clear audit trail useful for compliance with ESIGN, UETA, and state notary requirements.

Why a Standardized Datasheet Matters

Who Completes and Uses This Datasheet

The datasheet is completed by signers, signing agents, corporate signatories, and notaries to collect consistent identity and transaction details before notarization.

  • Title and closing agents — Prepare for recorded closings, verify IDs, and attach to deed acknowledgements.
  • Healthcare administrators — Collect patient identity and consent details for HIPAA-compliant releases and authorizations.
  • Corporate legal teams — Ensure authorized signer information and corporate authority documentation are captured for contracts.

The collected data supports notarization, recordkeeping, security reviews, and any required post-closing audits or regulatory filings.

Step-by-Step: Completing the Datasheet and Notarization

Follow these sequential steps from data collection to final notarization to ensure accuracy and legal validity.

  • 01
Prepare Datasheet: Collect IDs and contact details; attach supporting documents.
  • 02
Verify Identity: Notary confirms ID using credential analysis or KBA as required.
  • 03
Execute Notarization: Complete the acknowledgement or jurat; record date and notary signature.
  • 04
Store Record: Retain the datasheet and audit trail according to applicable retention rules.

How to Configure an Online Notary Workflow

Set these workflow fields before sending documents for electronic or remote notarization to ensure proper authentication and audit capture.

Field Configuration
Signer Authentication Email + SMS code, or KBA for RON where required
Signature Type Select image overlay or PKI-based digital signature
Recording Settings Enable audio-video recording for RON sessions per state rule
Audit Trail Capture IP, timestamp, and action log for each signer

Technical Requirements for eSubmission and Notarization

Confirm integrations, file formats, and authentication methods before starting the signing process.

  • File Formats: PDF, DOCX, and other common formats are accepted
  • Integrations: Connectors such as Salesforce or NetSuite streamline routing
  • Authentication: SMS, email, KBA, or advanced methods per workflow

Ensure the chosen platform supports required retention, recording, and audit features for your jurisdiction and industry before executing notarizations.

Simplified Process Flow for eSubmission and Notarization

This sequence shows the common path for an online notarization from upload to archive.

  • Upload Document: Sender uploads the form to the signing platform
  • Place Fields: Add signature, date, and notary fields on the document
  • Authenticate Signer: Signer completes required authentication steps
  • Complete Notary: Notary executes certificate and records session

Essential Elements to Include on a Professional Datasheet

A complete datasheet clearly captures identity, authorization, transaction details, and the notarial certificate to reduce downstream disputes and audit friction.

Identity Elements

Full legal name, DOB, government ID type and number, issuing jurisdiction

Contact Details

Current street address, phone number, and email for notifications

Specify required retention period and where the master record is stored

Security and Compliance Facts to Record

Data Encryption: AES-256 at rest
Transport Security: TLS 1.2/1.3 in transit
Audit Trail: IP and timestamp logging
Certifications: SOC 2 Type II, ISO 27001
Privacy: HIPAA-compliant with BAA
Legal Compliance: ESIGN and UETA adherence

Common Preparation Pitfalls to Avoid

  • Incomplete or inconsistent names between the datasheet and presented ID cause notarization delays and may require corrective affidavits.
  • Using expired identification or failing to record expiration dates often results in rejected notarizations, especially for real estate transfers.
  • Failing to specify RON versus in-person notarization can lead to invalid certificates when state rules require audio-video recording for remote sessions.
  • Not documenting the authentication method (KBA, credential analysis, SMS) undermines the audit trail and complicates regulatory review.

Consequences of Incorrect or Incomplete Datasheets

Legal Rejection: Voidable instrument risk
Recording Delay: County recorder rejection
Tax Penalties: Information return penalties (IRC §6721)
Employment Penalties: I-9 paperwork fines
HIPAA Violations: Civil penalties possible
Fraud Exposure: Increased liability risk

Timelines and Processing Expectations

Expect varying lead times: identity proofing, notary scheduling, and recording all have separate timelines that affect completion.

Scheduling Window:

Same-day to 3 business days typical for booked notary sessions

RON Record Retention:

Audio-video recordings retained 5–10 years per many state rules

Document Recording:

County recording may take 1–10 business days depending on jurisdiction

Correction Turnaround:

Corrective affidavits or re-notarizations may take 7–30 days

Consumer Disclosure:

Provide ESIGN consent notices prior to consumer-facing transactions

Practical Tips for Accurate and Efficient Completion

Follow these best practices to reduce rework, support auditability, and lower the risk of rejected notarizations.

Confirm Exact Name Matching
Always confirm the signer’s full legal name matches the government-issued ID and the signature block to prevent post-notarization challenges.
Record Authentication Method
Document whether you used KBA, credential analysis, SMS, or in-person verification to support the audit trail and legal defensibility.
Note Document Role
Specify each signer’s role (grantor, borrower, agent) to ensure the correct notarial certificate and avoid mismatched acknowledgements.
Maintain a Master Copy
Store a secure master copy with the full audit trail and any audio-video recordings when RON is used, and index it for retrieval.
