What an Office Cubicle Relocation Agreement Covers

An Office Cubicle Relocation Agreement is a written record that sets expectations, responsibilities, scheduling, and liability for moving or reassigning an employee’s workstation, cubicle, or related office furnishings. Typical uses include internal office reorganizations, department moves, and temporary relocations while facilities work occurs. The agreement clarifies who arranges and pays for packing, disassembly, reassembly, IT reconnection, and any property damage repair. It also documents access permissions, timing windows, and signature blocks for all parties to confirm acceptance of terms and condition of property before and after the move.

Why documenting a cubicle move matters

A clear written agreement reduces disputes, assigns financial responsibility for damage or lost equipment, sets move windows to limit business disruption, and creates an auditable record of consent and acceptance by all affected parties.

Why documenting a cubicle move matters

Who typically prepares and signs this agreement

HR, facilities management, IT, and the employee or contractor directly affected typically coordinate and sign the document.

  • Facilities managers coordinating physical moves and vendor scheduling.
  • Human resources confirming employee consent and policy compliance.
  • IT teams authorizing reconnection of equipment and service desks.

Use this agreement when responsibilities, costs, or access must be explicit to avoid later disputes.

Core sections to include in a professional agreement

A comprehensive agreement organizes the move into defined sections so obligations, timelines, and remedies are easy to find for all parties.

Parties

Names and contact details for the employer, employee, and third-party mover, and the legal entity responsible for payment or indemnity obligations.

Scope

Exact description of items to be moved (desk, panels, monitors), including serial numbers for IT equipment and notes about fixtures that remain with the space.

Schedule

Move date, start and end times, blackout periods, and the required notice period to request changes or cancellations.

Costs

Who pays for packing, materials, vendor labor, overtime, and any repair or replacement costs arising from damage during the move.

Liability

Damage inspection procedure, acceptance criteria, deadlines for reporting damage, and indemnification language between parties.

Signatures

Signature blocks with printed names, titles, dates, and optional witness or notary section if required by company policy.

Essential information fields to capture

Employee name: Legal full name
Department: Business unit or team
Current location: Building, floor, cubicle ID
New location: Building, floor, cubicle ID
Move date: MM/DD/YYYY
Contact phone: Direct number for day-of coordination

Step-by-step: completing the relocation agreement

Follow these steps to fill the agreement, obtain approvals, and document condition before and after the move.

  • 01
Prepare details: List items, serials, and precise addresses.
  • 02
Set schedule: Confirm date, arrival window, and downtime tolerance.
  • 03
Assign costs: Specify payer for packing and vendor labor.
  • 04
Sign and retain: Collect signatures and save executed copy.

Configuring an online workflow for this agreement

Set up a clear routing and signature order so each stakeholder signs in sequence and receives a completed copy.

Field Configuration
Signer order Facilities -> IT -> Employee
Required fields Move date, item checklist, signature fields
Authentication Email + SMS code for higher assurance
Notifications Automatic reminders at 48 and 24 hours

Where to send and store the completed agreement

Define the routing so legal, HR, and facilities each retain a copy and an audit trail is preserved.

  • Primary repository: Company contract repository or HR file
  • Facilities copy: Facilities management records
  • Employee copy: Sent to employee email automatically
  • Audit record: Preserve eSignature audit trail with timestamps

Digital signing and distribution considerations

Choose a platform that produces a tamper-evident signed PDF and stores a complete audit trail for compliance.

  • File formats: PDF and DOCX support
  • Integrations: Works with major cloud storage and HR systems
  • Authentication: Email, SMS, or stronger options available

Ensure the chosen provider supports ESIGN/UETA compliance and secure storage to reproduce records on demand.

Typical timelines and notice requirements

Set clear timing to avoid operational impact; communicate deadlines to employee and vendors.

Move request lead time:

Submit at least 7 business days before move

Schedule confirmation:

Facilities confirms vendor and time within 3 business days

Damage reporting window:

Report damage within 48 hours after move completion

Cancellation notice:

Require 48 hours' notice to avoid vendor fees

Retention of signed copy:

Store executed agreement indefinitely per policy

Common mistakes to avoid

  • Failing to list IT asset serial numbers leads to disputed responsibility for damaged or missing equipment.
  • Not specifying payer for overtime or evening moves causes unexpected charges and internal billing disputes.
  • Skipping a pre-move condition inspection leaves no baseline for assessing vendor-caused damage claims.
  • Using ambiguous terms like 'reasonable care' without definitions creates disagreement about acceptable workmanship.

Risks and potential consequences of an incomplete agreement

Property damage: Employer liability
Data loss: Potential breach costs
Vendor fees: Unexpected billing
Work disruption: Productivity loss
Contract disputes: Legal costs
Compliance gaps: Recordkeeping failures

How signature types compare for this agreement

Choose the signature type based on required assurance and regulatory needs for equipment or privacy handling.
