What the Order Management Form Is and When It’s Used

An Order Management Form is a standardized document used to record a buyer’s purchase request, the seller’s acceptance terms, item details, pricing, delivery instructions, and payment terms. It creates a written record of the transaction that supports order processing, inventory allocation, invoicing, shipping, and customer service. Organizations use the form for single orders, recurring purchases, change orders, and order acknowledgements. When properly completed and retained, the form documents commercial intent, can support tax reporting and audits, and serves as the operable record if a dispute arises between parties.

Why a Standardized Order Management Form Matters

A consistent form reduces errors, speeds fulfillment, and establishes clear contractual terms for price, delivery, and acceptance. It improves traceability across procurement, finance, and shipping teams while preserving an auditable record of each sale.

Why a Standardized Order Management Form Matters

Who Typically Prepares and Signs an Order Management Form

Different teams and roles touch the Order Management Form depending on company size and process: procurement and sales draft requests, operations verify availability, and finance approves payment terms.

  • Purchasing teams and buyers responsible for initiating and approving purchases; they ensure accuracy of item codes and quantities before submission.
  • Sales and account managers who confirm pricing, discounts, delivery windows, and any contractual exceptions with customers.
  • Operations and logistics staff who verify stock, schedule fulfillment, and attach shipping or production notes for execution.

Final signature or electronic acceptance is typically completed by an authorized representative listed on the form; custody of the executed form moves to finance or contract administration for retention.

Step-by-Step: How to Complete and Process the Form

Follow these sequential steps from creation to execution to ensure accurate order capture and timely fulfillment.

  • 01
Draft the Order: Populate buyer, seller, items, prices, payment, and delivery fields.
  • 02
Validate Internally: Operations checks availability; finance verifies payment terms and credit.
  • 03
Obtain Authorization: Authorized approver signs or eSigns the form per company policy.
  • 04
Route and Retain: Send executed form to fulfillment and archive in records management.

How to Configure an Online Order Management Workflow

Configure field validations, routing, and notifications when moving the form into a digital workflow or eSignature platform.

Field Configuration
Order Number Auto-generate or require unique entry
Order Date Auto-fill with current date or allow edit
Approval Routing Conditional routing by order value
Notifications Email/SMS alerts on submission and signing

Where Completed Forms Should Be Sent

Clear routing steps reduce processing time and ensure the right teams act on the order without delay.

  • Fulfillment Team: Receives executed order to pick, pack, or manufacture items.
  • Finance / Billing: Receives copy to issue invoices and reconcile payments.
  • Contract Administration: Stores master copy for contract and audit purposes.
  • Customer Acknowledgement: Provide buyer a signed confirmation for records.

Technical and Platform Considerations for eSubmission

Choose a platform that supports your required integrations, file formats, and compliance obligations before moving to eSubmission.

  • File Formats: PDF, DOCX, and XLSX accepted
  • Integrations: CRM and ERP connectors available
  • Authentication: Email, SMS, or MFA options

Ensure the platform provides an audit trail, secure storage with AES-256 encryption at rest and TLS 1.2/1.3 in transit, and supports any required legal frameworks (ESIGN/UETA/21 CFR or HIPAA) for your industry.
