Best practices to reduce disputes and delays

Follow these best practices to reduce delays and disputes when using the Outdoor Structure Pergola Template during permitting and construction phases.

Specify exact materials and tolerances
List species, grades, finish, fasteners, and anchoring tolerances; include manufacturer part numbers and acceptable alternates. Precise specifications prevent substitutions inconsistent with permit approvals and reduce inspection rejections that cause costly rework.
Define clear inspection and acceptance criteria
Specify milestone inspections, acceptance tests, measurement criteria, and a documented punch-list process. Tie final payment and retainage release to written acceptance to avoid subjective disputes at closeout and protect both parties.
Assign permit and fee responsibilities
State which party obtains permits, pays associated fees, and manages inspections. Include timelines for submission and consequences for delays, such as schedule adjustments or cost-sharing for permit-related overruns.
Use change order procedures
Require written, signed change orders describing scope, cost, and schedule impacts before commencing additional work. Track revisions and maintain versioned documents to support claims and invoice adjustments.
