What the Payment EFT Addendum Is and when it applies

A Payment EFT Addendum is a contract attachment that authorizes electronic funds transfers (EFT) between contracting parties and sets the rules for how payments are deposited, reversed, or adjusted. It typically specifies payee banking details, authorization language allowing ACH or wire transfers, effective dates, and revocation procedures. Organizations use this addendum to reduce paper checks, document payer consent for recurring or one-time transfers, and establish liability and error-resolution procedures tied to banking regulations and operating rules.

Why include a Payment EFT Addendum in your contracts

A clear EFT addendum reduces payment delays, documents payer consent required under banking rules, and limits disputes by recording bank account information and authorization terms in writing.

Why include a Payment EFT Addendum in your contracts

Typical users and roles that complete a Payment EFT Addendum

Organizations and individuals complete Payment EFT Addenda when authorizing electronic payments, verifying banking details, or updating payment routing instructions on existing contracts.

  • Finance and accounts payable teams that need secure, auditable authorizations to send recurring ACH or wire transfers.
  • Vendors and contractors who accept direct deposit for invoices, payroll, or recurring subscription payments.
  • Healthcare and benefits administrators that require documented patient or payee authorization for electronic reimbursements.

Use this addendum to document consent, speed funds receipt, and maintain a reliable audit trail for treasury, AP, and compliance teams.

Stepwise process to complete and verify the addendum

Follow these steps to collect, verify, and store EFT authorizations to reduce rejections and create a compliant audit trail.

  • 01
Prepare Document: Attach addendum to master agreement and identify payer and payee.
  • 02
Collect Bank Data: Obtain routing and account numbers and confirm account ownership.
  • 03
Obtain Consent: Have authorized signer sign and date the addendum with consent language.
  • 04
Verify and Store: Confirm micro-deposit or bank letter and retain the record securely.

How EFT authorization flows through a typical payment lifecycle

This sequence describes the core handoffs from authorization to settlement and post-payment reconciliation.

  • Authorization: Signer grants permission and provides banking details to payer.
  • Verification: Payer verifies account via micro-deposit, bank letter, or third-party verification.
  • Initiation: Payer initiates ACH or wire according to the effective date and payment instructions.
  • Reconciliation: Parties reconcile settled amounts and document any returns or reversals.

Typical online workflow settings for electronic completion

Configure digital fields and signer steps so data is captured consistently and auditably.

Field Configuration
Bank Routing Mandatory numeric field; validate 9 digits
Account Number Masked input; allow copy/paste; confirm with re-entry
Signature Require signer signature + date field
Verification Method Micro-deposit, bank letter, or instant verification

Digital signing and verification requirements

Choose a platform that supports secure collection of banking data, audit trails, and optional signer authentication.

  • Integrations: Connectors to accounting/ERP systems reduce manual entry
  • Authentication: Email or SMS codes; use stronger KBA for high-value transfers
  • Document Formats: PDF or DOCX accepted; preserve audit metadata

Timing considerations, deadlines, and expected processing windows

Plan for verification and settlement lead times and include them in the addendum to set expectations.

Verification Lead Time:

Allow 1–3 business days for micro-deposits or instant verification methods

ACH Settlement:

Standard ACH clears in 1–2 business days; same-day ACH may apply for eligible transfers

Wire Transfers:

Domestic wires typically settle same day if submitted by cutoff

Revocation Notice:

Specify notice period (e.g., 3–5 business days) for canceling authorization

Record Retention:

Keep authorization records per applicable retention rules

Common mistakes to avoid when preparing the addendum

  • Entering incorrect routing or account numbers without a verification step, leading to returned or misdirected funds.
  • Using informal authorization language that fails the ESIGN/UETA intent and consent requirements for electronic records.
  • Failing to document the signer's authority to bind the payee (e.g., absent corporate officer signature or agent authorization).
  • Not retaining a secure, tamper-evident record with timestamps and IP addresses for dispute resolution.

Consequences and legal risks of incorrect or missing EFT authorizations

Failed Payments: Bank fees and returned payment liability
Backup Withholding: Missing/incorrect TIN triggers 24% backup withholding
Fraud Exposure: Unauthorized transfers may lead to financial loss and liability
Contract Disputes: Absent clear authorization, parties may contest payment obligations
Regulatory Action: Noncompliance with banking rules can attract enforcement or fines
Recordkeeping Penalties: Failure to retain records may impede audits or claims

Routing and account numbers, account type, and an instruction to notify payer of any bank changes in writing to prevent misdirected transfers.

Authorization Clause

Clear language stating the signer authorizes ACH or wire transfers, describing one-time or recurring payments and the payment rail.

Effective Date

Date the authorization begins and any applicable cutoffs for the first transfer to manage timing expectations.

Revocation Procedure

Specify how to cancel authorization, notice period required, and the payer's obligations after revocation.

Error Resolution

Steps for returning or correcting erroneous transfers, including contact information and any fees or indemnities.

Supporting documents and export formats to keep with the addendum

Attach verification artifacts and store in export formats that preserve audit trails and metadata.

Bank Verification

Micro-deposit confirmation, bank letter, or third-party verification report to evidence account ownership and reduce returns.

Practical tips for accurate and efficient addendum completion

Adopt a few consistent practices to reduce errors, speed verification, and support auditability.

Verify banking data immediately
Use micro-deposits or bank-initiated verification before scheduling the first payment; this prevents returned items and reduces bank fees associated with misrouted transfers.
Document signer authority
Capture a signer title, corporate resolution, or power-of-attorney reference when the signer is an agent to avoid later disputes about authority to bind the payee.
Use clear revocation terms
Define how much notice is required to stop payments and whether outstanding obligations survive revocation, which reduces legal uncertainty between parties.
Keep secure records
Store signed addenda with audit metadata and encryption, ensuring easy retrieval for audits, chargeback inquiries, or regulatory reviews.

Who may sign the Payment EFT Addendum

Company Officer

A corporate officer (for example, CFO or Treasurer) should sign on behalf of a business entity. The addendum should record the signer's job title and authority source such as a board resolution or delegated signature authority to avoid questions about validity.

Authorized Agent

A documented agent or third-party payment processor may sign if the principal has granted explicit authority. Include a reference to the underlying agency appointment or power of attorney to establish binding consent.
