What a Payment EFT Request Is and When It’s Used

A Payment EFT Request is a standardized authorization form used to enroll a payee or vendor for electronic funds transfer (EFT/ACH) payments. It collects bank routing and account details, taxpayer identification, remittance preferences, and a written authorization allowing the payer to deposit payments directly into the designated account. Organizations use it to replace paper checks, accelerate payment cycles, and reduce manual reconciliation. Proper completion ensures funds are routed to the correct account, avoids return fees, and provides an auditable record of payment instructions for both payer and payee.

Why a Clear Payment EFT Request Matters

A well-prepared Payment EFT Request protects payers and payees by reducing payment errors, supporting faster disbursement, and creating an auditable authorization trail. It reduces returned-payment charges and supports automated reconciliation in accounting systems.

Why a Clear Payment EFT Request Matters

Who Typically Completes and Approves an EFT Request

Various corporate and vendor roles complete or approve EFT requests depending on organizational controls and transaction size.

  • Accounts Payable: Prepares request, verifies documentation, and initiates enrollment per internal controls.
  • Vendors / Suppliers: Provide bank account, routing details, W-9, and authorized signature for enrollment.
  • Finance Controllers: Review high-value enrollments and approve banking changes to prevent fraud.

Segregation of duties—data entry, verification, and approval—reduces risk and helps meet audit requirements.

Step-by-Step: How to Complete a Payment EFT Request

Follow these sequential steps to enroll a payee for EFT and reduce processing errors.

  • 01
Collect Info: Gather legal name, TIN, routing and account numbers.
  • 02
Verify Identity: Match name and TIN; request W-9 if needed.
  • 03
Obtain Signature: Have authorized representative sign and date.
  • 04
Submit to AP: Send to accounts payable with supporting documents.

Where to Send or File the Completed Request

Determine the appropriate recipient and submission channel based on payer policies and the payee relationship.

  • Accounts Payable: Primary recipient for vendor enrollments and change requests.
  • Vendor Portal: Upload signed form and W-9 when available.
  • Bank Verification Team: Internal team performs micro-deposits or bank contact verification.
  • Treasury/Payments: Final activation and scheduling of EFT payments.

How to Configure the Online EFT Enrollment Workflow

Below are common digital workflow settings used to automate enrollment, verification, and approval of EFT requests.

Field Configuration
Identity Check Require W-9 and ID verification
Bank Verification Enable micro-deposits or bank API verification
Approvals Two-step approval for high-value accounts
Retention Auto-archive signed form and audit trail

Digital Signing and Submission Requirements

Ensure your eSubmission platform supports secure uploads, audit trails, and the authentication methods your policy requires.

  • Authentication: Email, SMS, or 2FA
  • Integrations: ERP and banking APIs

Timelines and Typical Processing Expectations

Processing times depend on verification method, bank response, and internal approval SLAs; plan for multiple business-day lead times.

Bank Verification Time:

Internal Approval SLA:

2–7 business days depending on controls

Usually active for next payment cycle after verification

Change Notice Window:

Allow 5–10 business days for account-change activation

Common Preparation Errors to Avoid

  • Submitting handwritten or illegible account numbers that cause bank rejection and require rework, delaying payments by several cycles.
  • Failing to collect a current W-9 or incorrect TIN, which can trigger backup withholding at a 24% rate and IRS notices.
  • Changing bank details without dual authorization, increasing exposure to fraud and potential financial loss from redirected payments.
  • Uploading unsigned or partially completed authorizations, which invalidates the enrollment and requires repeat collection and approval.

Penalties and Financial Risks of Incorrect EFT Requests

Backup Withholding: 24% withholding may apply
Returned Payment Fees: Bank rejection incurs fees
Fraud Liability: Unauthorized changes risk loss
Payment Delays: Verification failures delay payouts
Contract Breach: Missed payments can trigger penalties
Loss of ACH Privileges: Banks may restrict ACH access
