What a Payment Void Cheque Is and when it's used

A Payment Void Cheque is a canceled check marked VOID that provides a payer with your bank account number, routing (transit) number, and account holder name without enabling withdrawal. Employers, payers, and billers use a voided check to set up direct deposit, preauthorized debits, or to verify account details for electronic transfers while preventing check cashing.

Why a properly prepared Payment Void Cheque matters

A clear voided check reduces data-entry errors, speeds account setup for ACH payments, and provides a secure paper record of account routing details for payers and payroll administrators.

Why a properly prepared Payment Void Cheque matters

Who typically provides or requests a Payment Void Cheque

Common requesters and providers for voided checks are payroll teams, vendors, and financial services when establishing recurring ACH payments.

  • Payroll departments — Employers use void cheques to enroll employees in direct deposit and confirm routing numbers.
  • Vendors and utilities — Companies require voided checks to authorize automatic invoice payments or refunds.
  • Individuals — Account holders supply a voided check when a third party needs verified routing/account details.

Providing a neat, legible voided check reduces follow-up and avoids payment delays for all parties involved.

Essential elements of a professional Payment Void Cheque

A professional voided cheque clearly shows bank details, the check number area blocked, and the word VOID applied so data is usable but the check itself cannot be cashed.

Bank name

Printed bank name must be visible to help match routing information with payer records and reduce verification steps.

Routing number

The 9-digit ABA routing (transit) number must be clear; it directs ACH transactions to the correct financial institution.

Account number

Your full account number should be legible and unobstructed so deposits or debits post to the intended account.

Account name

The account holder name should match payroll or vendor records to avoid return transactions or backup withholding triggers.

VOID marking

Write 'VOID' across the front in large letters to prevent fraudulent check presentment while preserving readable micr line data.

Optional authorization

Include a signed authorization or note when requested by the payer to show consent for ACH setup if required.

Required data fields on a Payment Void Cheque

Routing number: 9-digit ABA transit
Account number: Full account digits
Account holder: Legal name on account
Bank name: Printed bank ID
Check number: Optional; can be crossed
Void indicator: Large VOID marking

Step-by-step: Preparing and sharing a Payment Void Cheque

Follow these steps in order to create a secure and useful voided check for payroll or recurring payments.

  • 01
Obtain a check: Use a pre-printed check from the account to ensure accurate micr data.
  • 02
Write VOID: Mark 'VOID' across the front in thick letters, avoiding the bottom micr line.
  • 03
Confirm details: Check routing and account numbers for correctness before sharing.
  • 04
Deliver securely: Send by secure upload, encrypted email, or in-person handoff as agreed with the payer.

How a voided check is used to enable electronic payments

The voided check supplies routing and account numbers to the payer, who enters them into their ACH processing system to initiate deposits or withdrawals.

  • Data capture: Payer reads routing and account numbers from the MICR line.
  • Account verification: Payer may perform micro-deposits or bank verification to confirm ownership.
  • Setup complete: ACH entries are scheduled per payroll or billing cycle.
  • Ongoing changes: Update the payer immediately if account details change.

Digital options and minimum requirements for eSubmission

Many organizations accept scanned or photographed voided checks; require image clarity and secure transmission.

  • Image quality: High-resolution, full check visible
  • Accepted formats: PDF, JPG, PNG
  • Transmission security: Encrypted upload or secure portal

When submitting electronically, follow payer instructions for upload portals or encrypted email and retain an audit trail or confirmation of receipt.

Common digital configuration steps for collecting voided checks

Set up your secure intake form to capture images, consent, and verification without storing unnecessary sensitive data.

Field Configuration
File upload Allow single PDF or image up to 10 MB
Consent checkbox Require explicit account authorization
Auto-detection Enable OCR for routing/account capture
Storage policy Encrypt at rest and limit access

Timing and payroll deadlines related to providing a voided check

Provide voided checks in advance of payroll or billing cutoffs so payers can verify and activate ACH setups in time.

Payroll enrollment lead time:

Provide at least one full payroll cycle before first deposit

Micro-deposit verification:

Allow 1–3 business days for micro-deposits to clear

Billing cycle changes:

Submit 7–14 days before scheduled debit dates

Account change cutoff:

Meet payer-specific cutoffs to avoid holds or manual checks

Immediate updates:

Notify payer immediately upon account closure or number change

Common mistakes to avoid when preparing a Payment Void Cheque

  • Obscuring the MICR line — writing VOID over the bottom numbers prevents ACH capture and requires resubmission or manual entry.
  • Providing incomplete images — blurred or cropped photos often lead to verification delays and additional follow-up requests.
  • Failing to match names — account holder names that differ from payroll or vendor records can trigger backup withholding or rejected ACH entries.
  • Sending insecurely — emailing a check image without encryption or a secure portal risks exposure of sensitive bank data.

Potential consequences of incorrect or mishandled voided checks

Failed payments: Returned ACH items
Delays: Payroll or billing hold
Fees: Bank NSF or return fees
Data exposure: Unauthorized access risk
Withholding: Backup withholding triggers
Compliance: Recordkeeping issues
