What the Personal Coaching Program document is

A Personal Coaching Program is a written agreement that defines the scope, schedule, fees, confidentiality, and deliverables for an individual coaching engagement. It sets client goals, session frequency and duration, payment terms, cancellation and rescheduling rules, and data-handling expectations. The document can function as a standalone service agreement or as an exhibit to a larger engagement. When executed by all parties it creates mutual obligations; the agreement can be signed electronically under U.S. e-signature law where permitted by ESIGN and applicable state statutes.

Why a clear Personal Coaching Program matters

A concise, signed program clarifies expectations, reduces disputes, documents payment terms, and preserves confidentiality commitments. It provides a consistent intake process and creates a single reference for scope changes and performance reviews.

Why a clear Personal Coaching Program matters

Who typically completes a Personal Coaching Program

These agreements are used by individual coaches, coaching practices, and corporate HR or leadership development teams to govern one-on-one engagements.

  • Independent coaches offering recurring one-on-one or package sessions, documenting scope and payment terms.
  • Coaching firms and agencies managing multiple clients and billing schedules across coaches.
  • HR, talent development, or L&D teams purchasing external coaches for employee development programs.

Parties complete the form to capture client details, pricing, milestones, and mutual commitments before services begin.

Essential sections to include in a professional program

A complete Personal Coaching Program groups purpose, deliverables, schedule, fees, privacy, and termination language into discrete sections so both parties understand obligations and remedies.

Scope of Services

Describe specific coaching objectives, modalities (phone, video, in-person), measurable outcomes, and any excluded services to avoid ambiguity during the engagement.

Goals & Outcomes

Set client goals, success metrics, milestone checkpoints, and review dates so progress is documented and adjustments can be agreed in writing.

Session Schedule

Specify number, frequency, length, and start/end dates of sessions plus acceptable rescheduling windows and notice periods for cancellations.

Fees & Payment

List total fees, installment schedules, accepted payment methods, late fee policies, deposit requirements, and refund or credit terms if applicable.

Confidentiality

Include confidentiality obligations, exceptions (e.g., legal subpoenas, mandatory reporting), and any data privacy measures or HIPAA considerations.

Termination & Amendments

Define termination triggers, notice requirements, obligations on early termination, and the process to amend or extend the program in writing.

Prepare draft: Populate client, coach, scope, and fees fields.
  • 02
Review terms: Confirm schedule, cancellation policy, and confidentiality clauses.
  • 03
Add signatures: Place signature and date fields for all parties.
  • 04
Execute: Obtain signed copies and retain for records.

How to set up an online signing workflow

Configure a digital workflow that assigns roles, authentication, reminders, and file formats to streamline execution and recordkeeping.

Field Configuration
Template Create reusable template with placeholders
Signer order Set sequential or parallel signing
Authentication Choose email, SMS code, or stronger methods
Reminders Set automatic reminder cadence

Technical considerations for e-signing and delivery

Select a platform that supports common file formats, audit trails, and authentication suited to your risk level.

  • File formats: PDF, DOCX, and exported signed copies
  • Integrations: CRM and cloud storage connectors
  • Security: TLS in transit; AES-256 at rest

Ensure the platform provides tamper-evident signed PDFs, an audit trail with timestamps and IP addresses, and exportable records for retention policies.

Typical electronic signing flow for coaching agreements

A common online signing flow moves the document from draft through placement of fields to signer authentication and final delivery with an audit trail.

  • Upload document: Import the agreement into the signing platform
  • Place fields: Add signature, date, and initial fields
  • Send to signer: Send email or sharing link
  • Complete signing: Signer authenticates and signs; system records audit trail

Common timing and notice requirements

Set clear dates and notice windows to avoid disputes and to coordinate payments, cancellations, and renewals.

Effective date:

Agreement begins on the Effective Date entered by parties

Payment due:

First payment due on or before first session

Cancellation notice:

Commonly 24–72 hours; specify your chosen period

Renewal notice:

Provide 30 days notice for renewal or nonrenewal

Signature deadline:

Require signatures before service start date

Key milestones from agreement to onboarding

A simple milestone timeline clarifies when drafts, approvals, signatures, and onboarding occur for the coaching engagement.

01

Draft complete

Agreement prepared and reviewed by coach and client

02

Client review

Client reads terms and requests clarifications

03

Execution

Both parties sign and date the agreement

04

Onboarding

First session scheduled and client intake completed

Common preparation mistakes to avoid

  • Vague scope language that omits what is excluded leads to misunderstandings when expectations differ between coach and client.
  • Missing payment terms or unclear refund policies cause disputes; always state amounts, due dates, and late fee rules.
  • Overlooking data privacy and confidentiality specifics can expose both parties to compliance risks, especially when health-related information is involved.
  • Failing to require signatures before services start allows a party to contest terms; obtain executed agreement prior to first session.

Risks and consequences of an incomplete or incorrect agreement

Invalid contract: Missing signatures
Payment disputes: Unclear fee terms
Privacy breach: Improper data handling
Regulatory exposure: HIPAA liability if applicable
Reputational harm: Client dissatisfaction
Statute issues: Limitations on enforcement
