What the Pet Care Pet Stay Agreement Is and When it's Used

The Pet Care Pet Stay Agreement is a written contract that sets terms between a pet owner and a caregiver or boarding provider for a temporary stay. It documents services, fees, feeding and medication instructions, emergency contact details, health and vaccination status, liability allocation, and timeframes for drop-off and pickup. Providers and owners use this agreement to reduce misunderstandings, record financial terms and authorization for veterinary care, and establish who is responsible for costs and decisions if the pet becomes ill or injured during the stay.

Why a Clear Pet Stay Agreement Matters

A well-drafted Pet Care Pet Stay Agreement clarifies responsibilities, protects both parties, and documents consent for medical treatment and emergency decisions. It supports enforceability under U.S. e-signature law when executed correctly and reduces disputes about fees, care instructions, and liability.

Why a Clear Pet Stay Agreement Matters

Users range from independent pet sitters and small kennels to professional boarding facilities and pet transport services.

  • Pet owners who need proof of service and medical authorization for their animal

Core Elements to Include in a Professional Pet Stay Agreement

Include clear, enforceable clauses that address care scope, payment, emergency decisions, and liability to reduce disputes and protect both parties.

Service Description

Specify hours of care, boarding location, exercise routines, and any special services such as grooming or transportation.

Fees and Payment

Detail daily rates, deposits, accepted payment methods, late fees, and refund or cancellation policies with timing and amounts.

Medical Authorization

Grant limited authorization for emergency veterinary care and set a maximum expenditure without additional owner approval.

Vaccination and Health

Require proof of vaccinations, flea/tick control, and disclose any contagious conditions before acceptance.

Liability and Indemnity

Limit provider liability for illness or escape; specify owner responsibility for pre-existing conditions and medication errors.

Termination

Describe conditions for early termination, return of the pet, and fee adjustments for early pickups or breaches.

Essential Data to Collect and Record

Owner Contact: Phone and email
Pet Details: Breed, age, color
Emergency Contact: Alternate local contact
Vet Info: Clinic name and phone
Medication List: Dosage and schedule
Vaccination Status: Dates and vaccine types

Common Mistakes to Avoid When Preparing the Agreement

  • Using vague medical authorization language that fails to state a spending limit or scope of treatment and causes disputes with caretakers.
  • Not verifying owner identity or contact details which delays emergency decisions and can invalidate authority to obtain veterinary care.
  • Failing to attach up-to-date vaccination records or medication instructions, which can lead to refusal of service or increased liability.
  • Skipping clear cancellation and refund terms, increasing the risk of disagreement over deposits, late pickups, or no-shows.

Risks and Consequences of an Incorrect or Missing Agreement

Medical Cost Liability: Owner may be liable for unapproved veterinary bills
Loss of Pet: Insufficient ID increases recovery difficulty
Breach Claims: Ambiguous terms can lead to legal disputes
Regulatory Risk: Noncompliance with local animal-control rules
Insurance Denial: Missing authorization may void coverage
Financial Loss: Unclear fees lead to unpaid balances

Typical Timelines and Deadlines to Track

Set and communicate key dates to avoid conflicts—booking windows, vaccination deadlines, payment due dates, and pickup windows.

Booking Deadline:

Reserve as early as possible; many facilities require 24–72 hours.

Vaccine Proof Deadline:

Provide records at booking or upon arrival to gain acceptance.

Deposit Due Date:

Often due at booking to hold space; nonrefundable per agreement.

Pickup Window:

Agree exact pickup time and late-fee policy.

Cancellation Notice:

Specify how many days are required to avoid forfeiting deposit.

Practical Examples: Typical Pet Stay Agreement Scenarios

Two common arrangements illustrate how clauses are tailored to the setting and risk profile.

Kennel Boarding Scenario

Owner books a five-day boarding at a professional kennel with daily care and exercise routines.

  • Deposit equal to one night required at booking.
  • The agreement specifies vaccination proof required on arrival, emergency vet authorization up to $500, and a late pickup fee of one night's rate.

In-Home Pet Sitter

Owner hires an in-home sitter for a weekend stay including feeding and medication.

  • Sitter receives a signed authorization and spare key.
  • The agreement lists medication schedule, emergency contact, local vet info, and a refundable security deposit for property damage.
