What the Planning Project Information Form Is

The Planning Project Information Form is a standardized project intake document used to capture scope, schedule, budget, stakeholders, site data, and regulatory constraints for development, construction, or public works projects. It centralizes essential project metadata — including project title, descriptions, location, estimated timelines, funding sources, approvals required, and contact details — so reviewers and approvers can assess feasibility and route requests. Organizations use it to ensure consistent submissions, enable permitting reviews, and create an auditable record of decisions and changes throughout project lifecycle management.

Deadlines vary by jurisdiction; often 30 days from decision.

Penalties and Risks from Incomplete or Incorrect Forms

Permit Delays: Extended review, potential stop-work orders.
Financial Penalties: Late fees or fines per agency rules.
Project Rejection: Application returned or denied.
Increased Costs: Remediation or revised designs increase budget.
Legal Exposure: Noncompliance can trigger enforcement actions.
Tax/Fiscal Risk: Funding delays affect cash flow and obligations.

Common Preparation Mistakes to Avoid

  • Incomplete attachments slow review because environmental reports, surveys, or funding approvals are missing, causing reviewers to request additional documentation and extend timelines.
  • Mismatched names between applicant, owner, and billing lead to identity checks, requests for corrected forms, and possible re-submission with certified documentation.
  • Vague scope descriptions result in scope creep and unclear deliverables, increasing review friction and generating conditions that complicate contracting.
  • Incorrect dates or missing contingency windows can cause permit expirations or misaligned procurement schedules, especially for multi-stage projects with seasonal constraints.
