What the PlayDay Event Agreement Is

The PlayDay Event Agreement is a written contract used by event organizers to set participant expectations, allocate risk, and document permissions for activities, media use, and medical treatment for minors. It typically includes participant identification, emergency contact information, assumption of risk, liability releases, indemnification terms, photo and video release language, and signature blocks for parents or guardians where applicable. The agreement serves as the primary record of consent and obligations between organizers, attendees, and third-party vendors, and can be executed on paper or electronically under ESIGN and UETA frameworks.

Why a Clear Agreement Matters for PlayDay Events

A well-drafted PlayDay Event Agreement clarifies responsibilities, reduces exposure to disputes, documents consent for minors and media releases, and streamlines emergency response. It also establishes the legal basis for insurance claims and vendor coordination while supporting consistent onboarding of participants.

Why a Clear Agreement Matters for PlayDay Events

Who Typically Prepares or Signs This Agreement

Organizers, venue managers, coaches, and parents commonly prepare or sign PlayDay Event Agreements before on-site participation.

  • Event organizers — use the form to set rules and liability boundaries before the event date.
  • Venue operators — require completed agreements to ensure vendor and participant compliance with venue rules.
  • Parents/guardians — sign for minors to grant permission for participation and emergency medical treatment.

Ensure the signer has authority (parent, legal guardian, or authorized adult) and retain a copy for the event and post-event records.
