What the Point of Sale Tills Template Is

The Point of Sale Tills Template is a standardized form used by retail and service organizations to record cash drawer activity, reconcile daily sales, and document bank deposit instructions. The template captures opening and closing cash counts, payment-type subtotals (cash, card, checks, gift cards), terminal and batch identifiers, variance explanations, and required signatures. It is intended to provide a consistent reconciliation record across shifts and locations that can support internal control, bank deposit tracking, tax reporting, and loss prevention reviews.

Why a Consistent Tills Template Matters

Using a Point of Sale Tills Template standardizes cash-handling, reduces reconciliation errors, and documents exceptions. Consistent completion supports internal control, audit readiness, and faster variance resolution. A compliant eSignature workflow preserves a verifiable audit trail for legal and financial review.

Why a Consistent Tills Template Matters

Who Typically Completes and Relies on This Template

Common users include store managers, shift supervisors, cashiers, and finance teams responsible for reconciliation and deposit processing.

  • Store managers: oversee opening and closing counts, review variances, approve deposits and adjustments.
  • Cashiers: perform drawer counts, record sales batches, initial the closing report.
  • Accounting teams: aggregate daily tills, reconcile with POS reports, prepare bank deposits.

Roles may overlap in very small businesses; larger operations separate duties to strengthen internal control and reduce the risk of theft or accounting errors.

Core Sections to Include in a Professional Template

Essential sections ensure complete reconciliation, consistent reporting, and clear accountability across shifts, terminals, payment methods, and supervisory approvals for audit trails.

Opening Count

Document the opening cash total and coin rolls by denomination. Record teller and cashier initials with timestamp to establish the starting position and detect early discrepancies.

Sales Summary

Summarize gross sales, returns, discounts, and taxes by terminal or register. Include breakdowns to reconcile POS system totals with physical receipts and processor reports.

Payment Totals

List totals for cash, credit/debit, checks, gift cards, and other tenders. Include processor batch numbers or settlement references to reconcile payments reliably.

Variance & Notes

Record counted versus expected differences, reason codes, and corrective actions. Require manager explanation for variances above preset thresholds and attach supporting receipts.

Deposit Instructions

Specify deposit amounts, envelope or deposit codes, bank account designation, and the responsible person. Note same-day or next-business-day deposit policy where applicable.

Signatures & Approval

Provide signature fields for cashier, supervisor, and finance reviewer with date and time. Capture type of attestation (hand-signed or e-signed) for audit purposes.

Required Information and Core Fields

Store ID: Unique store or location code.
Terminal ID: Register or POS terminal identifier.
Cashier Name: Full name as on payroll.
Shift Date/Time: Use MM/DD/YYYY and 24-hour time.
Opening Cash: Starting float amount in dollars.
Closing Cash: Final counted cash total.

Key Milestones in a Tills Cycle

Key processing milestones for a tills cycle show where responsibilities transfer and where controls engage during a typical sales day.

01

Shift Open

Count opening float; record starting numbers before transactions.

02

Mid-Shift Check

Spot-check cash and voids to detect anomalies early.

03

Shift Close

Complete closing count, reconcile totals, create variance notes.

04

Deposit Submission

Prepare bank deposit slip and deliver according to timetable.

Common Preparation Mistakes to Avoid

  • Failing to document opening floats or initial counts increases the risk of undetected shrinkage and makes it harder to separate cashier errors from systemic POS issues.
  • Inconsistent terminal identifiers or misnamed batches prevent automated reconciliation, forcing manual investigation and delaying settlement with payment processors.
  • Recording totals without attaching batch numbers or receipts complicates chargeback resolution and processor reconciliation, potentially causing financial discrepancies.
  • Late deposits or unclear deposit instructions can incur bank fees, breach internal policy, and weaken audit evidence during reviews.

Penalties and Operational Risks

Cash Shortage: Potential shrinkage and internal loss.
Bank Charges: Returned deposit or processing fees.
Audit Findings: Documentation gaps trigger control deficiencies.
Tax Exposure: Incorrect sales reporting risks penalties.
Fraud Risk: Lack of segregation of duties increases fraud.
Chargeback Delay: Missing batch IDs delay dispute resolution.
