What the Post Go Live Project Document Is and When It’s Used

The Post Go Live Project Document is a formal record created after a system, product, or process goes into production. It summarizes final configuration, outstanding issues, acceptance criteria, operational responsibilities, and support arrangements. The document records who signed off, what follow-up actions remain, any change requests logged during stabilization, and the timeline for warranty or maintenance handover. It serves as a single-source reference for operations, support, and stakeholders to confirm the project has met agreed exit criteria and to document the transition from project to steady-state operations.

Why a Clear Post Go Live Project Document Matters

A concise post go live document reduces ambiguity about responsibilities, shortens incident resolution times, and preserves an audit-ready record of acceptance. It creates a baseline for support, clarifies SLA triggers, and documents known defects and mitigation plans.

Why a Clear Post Go Live Project Document Matters

Who Typically Prepares and Relies on This Document

The document supports cross-functional continuity between project teams and operational teams through an auditable handover.

  • Project Manager — Coordinates final validation, collects sign-offs from stakeholders, and manages action-item tracking until closure.
  • IT Operations — Uses the document to update runbooks, monitoring thresholds, maintenance windows, and incident escalation contacts.
  • Business Owner — Confirms acceptance criteria were met and uses the record for compliance or governance reviews.

Step-by-Step: Creating and Finalizing the Document

Follow a standard sequence to ensure completeness and timely handover to operations.

  • 01
Draft: Compile system state, open issues, and mitigations.
  • 02
Internal Review: Circulate to technical leads for accuracy checks.
  • 03
Stakeholder Sign-off: Collect business and operations approvals.
  • 04
Archive and Distribute: Save final version and share to relevant repositories.

Typical Post-Go-Live Workflow and Document Routing

Document routing follows a clear handoff path from project to operations with checkpoints for verification.

  • Author: Project manager assembles initial draft.
  • Reviewers: Technical owners validate details.
  • Approvers: Business lead confirms acceptance.
  • Recipients: Operations and support teams receive final copy.

Configuring an Online Handover Workflow

Set up a consistent online workflow so the document flows automatically through drafting, review, and approval stages.

Field Configuration
Draft Owner Project Manager assigned automatically
Reviewers Technical leads added in parallel
Approval Business owner signs in sequence
Distribution Operations mailbox + archive repository

Digital Signing and Platform Considerations

Ensure the chosen platform can produce an audit trail, store signed copies, and integrate with your document repository.

  • Integrations: Salesforce, NetSuite, Microsoft 365 supported
  • Formats: PDF, DOCX, and HTML output
  • Authentication: Email, SMS code, or SSO options

Common Preparation Errors to Avoid

  • Missing version identifiers or release tags that prevent matching the document to a specific build or deployment, causing confusion during incident resolution.
  • Incomplete issue tracking entries that lack ticket IDs, owner assignments, or severity levels, which delays follow-up and obscures accountability.
  • Failing to capture acceptance criteria or test outcomes, which leads to disputes about whether the release met contractual obligations.
  • Not archiving a signed, timestamped copy with an audit trail and distribution record, undermining future compliance or forensic review.

Practical Tips for Accurate and Efficient Completion

Adopt standard templates, require structured fields, and use eSignature platforms to reduce errors and speed approvals.

Use a Standard Template
Create and enforce one template to ensure consistent fields, version control, and predictable reviewer responsibilities across projects.
Require Structured Entries
Use discrete fields for ticket IDs, dates, severities, and contacts so downstream systems can parse and index the information reliably.
Capture Electronic Signatures
Collect signer attribution and timestamped audit trails to reduce disputes and support compliance with ESIGN and UETA frameworks.
Archive with Metadata
Store the final signed file in a records system with tags for project, environment, version, and retention schedule for easy retrieval.
