What a Preferred Maintenance Agreement Is

A Preferred Maintenance Agreement is a written contract between a property owner or manager and a designated maintenance provider that defines recurring service terms, scope of covered work, response times, pricing, and renewal conditions. It sets expectations for preventive maintenance, emergency response, parts and labor responsibilities, invoicing schedules, and procedures for adding or excluding services. The document helps reduce downtime, clarify liability and payment terms, and creates a baseline for performance measurement and dispute resolution over the contract term.

Why organizations rely on a Preferred Maintenance Agreement

A Preferred Maintenance Agreement standardizes service delivery, reduces administrative friction, and clarifies cost allocation between parties.

Why organizations rely on a Preferred Maintenance Agreement

Who typically completes and signs this agreement

The Preferred Maintenance Agreement is used by property managers, building owners, facility teams, and maintenance contractors to formalize recurring service relationships.

  • Property managers and landlords who need scheduled preventative maintenance and prioritized response times for multiple properties.
  • Facilities or operations managers at corporate campuses and retail chains coordinating vendor networks and budgets.
  • Independent maintenance contractors or service companies who accept recurring service commitments and defined pricing.

Parties should ensure authorized signatories approve the final terms, and that operational contacts and escalation procedures are clearly listed for day-to-day management.

Step-by-step: Filling out a Preferred Maintenance Agreement

Follow these sequential steps to complete the form accurately and reduce later disputes.

  • 01
Identify Parties: Enter full legal names and business entity types for owner and provider.
  • 02
Define Scope: List included systems, excluded items, and service frequency.
  • 03
Set Pricing: Specify fixed fees, hourly rates, parts markup, and billing cadence.
  • 04
Sign and Date: Ensure authorized representatives sign and include execution dates.

How to configure an online agreement workflow

Map signer order, required fields, and authentication level before sending the agreement for signature.

Field Configuration
Signer Order Set owner first, provider second, or vice versa as required.
Authentication Use email link or SMS code; require stronger methods for high-risk deals.
Required Fields Mark signature, date, and pricing fields as mandatory.
Notifications Enable reminders and copy distribution for accounting and operations.

Digital signing and technical considerations

Confirm platform capabilities and integrations before e-signing to ensure compliance and record retention.

  • Formats: Accept PDF and DOCX for reliable rendering and long-term storage.
  • Integrations: Connect with systems such as Salesforce, NetSuite, Google Workspace, and Box for record sync.
  • Security: Use TLS and AES-256 encryption and require audit trails for all signed documents.

Choose an eSignature solution that supports audit trails, conditional fields, and configurable authentication to meet legal and operational needs without adding manual steps.

Where to send or submit the completed agreement

Determine the routing and retention path before execution to align operational and legal responsibilities.

  • Owner Records: Store signed originals in property management files for contract reference and audit.
  • Provider Copy: Ensure provider retains a signed copy for service scheduling and invoicing.
  • Accounting: Send a copy to accounts payable/receivable for invoicing and budgeting.
  • Operations: Distribute to onsite supervisors and the maintenance ticketing system for service coordination.

Important timelines and deadlines to track

Monitor these dates to maintain coverage, avoid lapses, and comply with notice requirements.

Renewal Notice:
