What a Press Release Form Is and when teams use it

A Press Release Form is a structured template used to collect all elements needed to issue a public announcement: headline, subhead, dateline, body copy, quotes, multimedia links, embargo details, distribution instructions, and internal approvals. Organizations use a Press Release Form to ensure consistency, capture required approvals, document authorizations, and create a single source of truth for communications across PR, legal, and executive stakeholders before distribution.

Why a standardized Press Release Form matters

Using a consistent Press Release Form reduces errors, speeds approval cycles, and creates an auditable record of who authorized a message and when. It also supports compliance with company disclosure policies and provides a repeatable workflow for multi-stakeholder review and eSignature capture under ESIGN and UETA frameworks.

Why a standardized Press Release Form matters

Teams and roles that complete the Press Release Form

Typical users complete different parts of the form depending on role: PR drafts content, legal reviews for compliance, and executives sign off on distribution.

  • PR / Communications: Drafts headline and body, selects multimedia, and manages distribution lists.
  • Legal / Compliance: Reviews claims, checks regulatory language, and requests edits to avoid disclosure risk.
  • Executive Approver: Confirms accuracy and grants final authorization for publication and embargo lifting.

Assigning responsibilities up front reduces review cycles and clarifies who has authority to approve public statements.

Essential parts of a professional Press Release Form

A complete form organizes content, approvals, and distribution metadata so teams can review, sign, and publish efficiently while preserving a clear audit trail for recordkeeping.

Headline

Concise, newsworthy statement limited to one or two lines; drives media interest and must match the submitted release title.

Dateline

City and date in MM/DD/YYYY format or agreed style; indicates publication timing and whether the release is embargoed.

Lead Paragraph

Summarize the who/what/when/where/why in the first 30–50 words so editors can assess newsworthiness quickly.

Quotes

Include attributed quotes with speaker name, title, and approval checkbox confirming accuracy and authorization.

Media Assets

Links or attachments for images, video, and logos plus caption text and usage rights notes.

Approval Log

Record of reviewers, electronic signatures, timestamps, and any conditions (e.g., embargo exceptions).

Step-by-step: Completing and approving a Press Release Form

Follow a structured sequence to draft, review, approve, and distribute the release while maintaining an audit trail for each action.

  • 01
Draft Content: Fill headline, body, and quotes.
  • 02
Attach Assets: Upload images and caption details.
  • 03
Legal Review: Send for compliance review and revisions.
  • 04
Final Approval: Obtain electronic signature and set distribution time.

Where to send the completed Press Release Form

Routing depends on organizational workflow: common destinations include internal distribution lists, media contacts, corporate website publishing systems, and shared archives.

  • Internal Review: Send to legal, executive, and communications reviewers.
  • Media Distribution: Provide approved text and assets to PR distribution services or direct media lists.
  • Website Publishing: Deliver final approved file to web content manager or CMS queue.
  • Archive: Store signed release and assets in records retention system.

Digital signing and file-format considerations

Use a secure eSignature platform that preserves an audit trail, supports standard file formats, and integrates with publication tools.

  • Integrations: Salesforce, NetSuite, Google Workspace
  • File Formats: PDF, DOCX, HTML
  • Security: AES-256 at rest

Practical tips for accurate, efficient completion

Follow a consistent checklist and naming conventions to reduce errors and speed reviews across teams and vendors.

Use a single approved template
Maintain one canonical form with required fields and locked boilerplate to avoid divergent messaging and reduce legal review time for routine announcements.
Record approvals in order
Route first to compliance, then to executive approvers. Document each sign-off with a timestamp so the audit trail shows a clear authorization chain.
Confirm multimedia rights
Store licenses or usage confirmations with each asset. Do not publish images or video without a written usage right attached to the form.
Log distribution details
Record the distribution list, channels used, and exact publish time to measure pickup and respond to media queries accurately.
