What the Pricing and Features Document Is

A Pricing and Features Document is a formal written summary that itemizes product or service features, pricing options, licensing terms, and implementation or support provisions. It is used by procurement, sales, and legal teams to compare offers, set expectations, and record which features and costs are included in a proposed deal. The document often accompanies quotes, statements of work, or master agreements and serves as a single reference for technical scope, price breaks, payment terms, and optional add-ons.

Why a Clear Pricing and Features Document Matters

A well-structured Pricing and Features Document reduces ambiguity, enables apples-to-apples vendor comparisons, and documents commercial commitments. It supports decision-making across procurement, finance, and legal by consolidating features, limits, and pricing assumptions in one place.

Why a Clear Pricing and Features Document Matters

Typical Users and Stakeholders

Procurement, sales engineering, product managers, and legal counsel commonly prepare or review these documents to align expectations across buyer and seller teams.

  • Procurement teams who must compare vendors and manage contract terms across business units.
  • Sales engineers and product managers who translate technical features into customer-facing options and limits.
  • Legal and finance reviewers who confirm pricing, licensing, and liability provisions are correctly captured.

Finance, IT operations, and business unit owners use the document to verify budget, integration needs, and service levels before final authorization.
