What the Print Production Screenprint Form Is

The Print Production Screenprint Form is a standardized job ticket and technical specification used to document every requirement for a screenprinted order. It records artwork files and placement, substrate type, imprint size and location, color callouts (PMS or CMYK), mesh and screen details, special inks or finishes, proof requirements, quantities, packing and shipping instructions, delivery dates, and payment terms. A complete form creates a single source of truth for production staff, reduces rework, and provides an auditable record of client approvals and pricing decisions.

Why a Complete Screenprint Form Matters

A properly completed Print Production Screenprint Form reduces production errors, shortens lead times, and clarifies commercial terms. It documents approvals and technical settings so suppliers deliver consistent results and disputes are easier to resolve.

Why a Complete Screenprint Form Matters

Who Typically Prepares and Signs This Form

Production managers, designers, and client representatives commonly complete the Print Production Screenprint Form to align expectations before work begins.

  • Printer or Production Manager — Submits technical settings, screen specifications, and scheduling requirements to shop floor staff and confirms production feasibility.
  • Designer or Art Department — Provides final artwork files, color separations, and proof approvals; confirms imprint placement and dimensions.
  • Client Representative or Buyer — Approves final proof, signs commercial terms, and confirms billing, shipping, and quantity acceptance.

Having the right person fill and sign the form ensures technical accuracy, timely approvals, and clear contractual responsibility for the job.

Essential Elements Every Professional Form Should Include

A well-structured Print Production Screenprint Form groups technical, commercial, and approval data so printers and clients can act without follow-up.

Job ID

Unique identifier for tracking job status across prepress, printing, and shipping; include purchase order number and internal reference for reconciliation and reporting.

Artwork Specs

File names, acceptable formats (PDF/X-1a, EPS, AI, high-res PNG), required bleed, resolution, and any vector/bitmap notes to prevent misinterpretation at press.

Substrate Details

Material type, manufacturer, color, weight and surface finish (e.g., 100% cotton, blend, poly, garment label). Substrate affects ink adhesion and cure settings.

Inks & Colors

List spot colors with precise PMS codes or CMYK breakdowns, special inks (discharge, metallic, puff), and any required mixing or curing instructions.

Production Instructions

Screen mesh count, tension, print order, tack or flash details, number of passes, and any post-print operations like curing, washing, or finishing.

Commercial Terms

Quantity, unit price, payment terms, lead times, proof approval requirements, shipping method, and acceptance criteria for completed goods.

Step-by-Step: From Order to Print

Follow these sequential steps to convert a completed form into a finished print run with minimal rework and clear approvals.

  • 01
Receive Order: Confirm job details and acknowledge receipt to client.
  • 02
Prep Artwork: Validate files, separate colors, and create screens.
  • 03
Approve Proof: Obtain client signature on digital or physical proof.
  • 04
Run Production: Execute print run, inspect, and pack per instructions.

Digital Workflow Settings for Online Completion

Configure a repeatable digital workflow so forms route automatically from sales to prepress to production with clear sign-off checkpoints.

Field Configuration
Upload Method Accept PDF/X-1a or high-res PNG uploads
Color Profile Set CMYK shop profile or request Pantone values
Proof Requirement Require signed digital proof before production
Sign-off Workflow Route to client then production manager sequentially

How Electronic Submission and Routing Works

Digital completion and e-signing streamline approvals and preserve an audit trail for each production stage.

  • Create Form: Populate fields and attach artwork.
  • Assign Approvers: Add client and internal approvers.
  • Sign Electronically: Approvers sign using accepted eSignature method.
  • Archive: Store signed form with audit trail.

Platform and File Requirements for eSubmission

Ensure your platform accepts the file types and authentication methods needed to preserve artwork fidelity and signer intent.

  • File Formats: PDF/X-1a, PDF, DOCX, PNG
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication: Email link, SMS code, or stronger methods

Use a platform that supports versioned files, audit trails, and common integrations; signNow is one vendor that supports those capabilities and common integrations without imposing per-user limits.

Typical Timing and Deadline Expectations

Set and communicate lead times explicitly on the form; common timing elements are listed below.

Proof Turnaround:

Client approval expected within 24–48 hours to avoid schedule slips.

Screen Preparation:

Allow 2–5 business days after proof approval for screen making.

Standard Production:

Production runs typically require 3–10 business days depending on quantity.

Rush Options:

Rush jobs shorten lead times but usually incur additional fees.

Payment Terms:

Net 30 is common; prepayment may be required for first-time clients.
