What a Print Service Printing Request Is

Print Service Printing Request is a standardized order and authorization form used to instruct a commercial print vendor to produce physical marketing and operational materials. The form records detailed specifications—paper stock, weight, finish, color mode, dimensions—plus quantities, delivery address, billing codes, and expected completion date. It also captures approvals, acceptance criteria, and any prepress files or proofs supplied. When retained with an electronic signature and audit trail, the request creates an auditable record for procurement, accounting, and quality control prior to printing.

Why documenting print orders matters

Using a Print Service Printing Request clarifies specifications, assigns billing and approval authority, and reduces production errors. It supports compliance and auditability when paired with an electronic signature solution compliant with ESIGN and UETA, preserving intent and retention of approval records.

Why documenting print orders matters

Who typically prepares and approves print requests

Procurement, marketing managers, operations staff, and in-house print coordinators typically complete or approve Print Service Printing Requests.

  • Procurement: issues purchase order numbers, confirms budget and vendor terms.
  • Marketing: provides artwork, color profiles, proof approvals, and brand guidelines.
  • Facilities/Operations: schedules deliveries, confirms counts, and handles on-site storage logistics.

Signatures from authorized staff and accurate field completion speed processing and create an enforceable instruction to the print vendor.

Core components to include in a professional request

A professional Print Service Printing Request combines technical specifications, approvals, billing, delivery, and legal terms into a single document for production clarity.

Project Details

Project title, internal reference, requester contact, department, and purchase order number. Clear identification avoids routing errors and supports invoice reconciliation. Include contact phone and email for proof questions.

Print Specs

Material, weight, finish, color mode, dimensions, bleed, and finishing instructions such as binding or lamination. Precise specs reduce reprint risk and vendor questions during production.

Files & Proofs

Accepted file formats, proofing instructions, number of proof rounds, and any color tolerances. State whether soft proof is acceptable or hard-copy proof required before release.

Quantity & Tolerances

Specify exact quantity and acceptable over/under run percentage. Define whether partial shipments or staged deliveries are permitted and how extras are billed and returned if any.

Delivery Terms

Complete shipping address, required delivery date, carrier preferences, receipt confirmation, and storage instructions. Note any site access requirements or appointment windows for receiving or unloading assistance.

Legal Terms

Payment terms, indemnities, liability caps, cancellation and change order policies, intellectual property ownership for custom artwork, and governing law for disputes, including reprint obligations.

Step-by-step: completing and issuing a request

Follow these steps to complete a Print Service Printing Request accurately and efficiently before production.

  • 01
Step 1: Provide project name, requester contact, and internal PO or budget code.
  • 02
Step 2: Attach print-ready files, specify color profiles, bleeds, and crop marks.
  • 03
Step 3: Select paper stock, finish, quantity, and desired turnaround date.
  • 04
Step 4: Obtain approvals and signatures from authorized signers and submit.

Digital workflow settings to match vendor processes

Configure your digital workflow to match vendor requirements and internal approvals before sending the request.

Workflow field and configuration mapping How to configure this field
Approvals and signatures required for release Sequential signer order and authentication level
File attachments and formats required Accept PDF/X, DOCX; embed fonts and proofs
Delivery and shipping options configured Specify carrier, delivery date, and contact
Billing, GL and accounting codes Link PO, GL code, and approver

Typical processing flow from upload to delivery

The Print Service Printing Request follows a standard workflow from specification through proof approval to final delivery.

  • Upload: Sender uploads files and enters specifications.
  • Review: Vendor preflights files and returns proofs.
  • Approve: Authorized person signs proof and confirms release.
  • Fulfill: Printer produces, ships, and logs delivery.

Technical requirements for electronic submission and signing

Digital submission and signature options depend on platform integrations, file formats, and authentication levels required by the vendor.

  • Accepted Formats: PDF, DOCX, or print-ready PDF/X.
  • Integrations: Connectors for Microsoft 365, Google Workspace.
  • Authentication: Email, SMS code, or stronger KBA.

Security and compliance essentials for digital requests

Encryption: TLS 1.2/1.3 in transit
Data at rest: AES-256 encryption at rest
Audit Trail: Timestamped action history and IP
HIPAA: BAA available for covered entities
Certifications: SOC 2 Type II and ISO 27001
Access controls: Role-based permissions and SSO

Common mistakes to avoid

  • Submitting low-resolution artwork or missing bleed/crop marks leads to improperly trimmed or pixelated output and may require a costly reprint.
  • Failing to include purchase order numbers or correct billing codes delays accounts payable and can result in rejected invoices or chargebacks.
  • Relying on color previews from RGB files instead of CMYK conversions causes color shifts that the vendor is not liable to correct without additional cost.
  • Not confirming delivery dates, signature authority, or receiving instructions can leave printed materials sitting at a dock and cause missed deadlines.

Risks and downstream consequences of errors

Production Delays: Incomplete files halt jobs
Incorrect Billing: Wrong PO causes invoice rejection
Color Mismatch: Wrong color profile increases reprints
Legal Exposure: Unauthorized approvals risk disputes
HIPAA Breach: Improper PHI sharing may incur penalties
Tax Recordkeeping: Missing retention may fail audits
