What the Print Sign Return Document Is

A Print Sign Return Document is a document workflow that requires a recipient to print a form, apply a handwritten signature (and any required initials), then return a scanned or mailed copy to the sender. This process is used when an original handwritten signature, notarization, witness attestation, or paper-based record is required or preferred. The workflow can coexist with electronic signing options when the parties agree, but many organizations retain print-and-return for specific legal, notarization, or identity-proofing reasons in U.S. transactions.

Why organizations rely on a print-sign-return workflow

Print-sign-return preserves a handwritten original and accommodates notarization or witness steps that some stakeholders or regulators still require, while enabling recordkeeping and scanned distribution for operational efficiency.

Why organizations rely on a print-sign-return workflow

Who commonly completes or requests a Print Sign Return Document

Different teams and individuals request print-sign-return workflows when paper signatures or notary acknowledgements are needed.

  • Real estate agents and closing coordinators who need notarized deeds, lease signatures, or buyer acknowledgements.
  • Healthcare administrators collecting handwritten patient consent forms or HIPAA authorizations requiring original signatures.
  • HR or payroll teams when original signed acknowledgements or paper I-9 supporting documents are needed.

The workflow spans small businesses to enterprise legal, but the exact signer and return method depend on the document type and applicable rules.

Step-by-step: complete and return a printed document

Follow these steps to ensure a valid printed signature and reliable return.

  • 01
Prepare: Print the latest version (verify revision/date).
  • 02
Sign: Hand-sign and initial required fields in ink.
  • 03
Notarize (if needed): Get notary and witness signatures in person.
  • 04
Return: Scan as high-quality PDF or mail per instructions.

Typical print-sign-return routing options

Choose the route that matches legal needs and signer convenience.

  • Email to Signer: Sender emails PDF with return instructions.
  • Print and Sign: Signer prints, signs, and initials pages.
  • Scan or Mail: Signer scans to PDF or mails original document.
  • Receive and Archive: Sender verifies and stores signed copy.

  • Not specifying return instructions clearly, resulting in delayed receipt or lost originals.
