What the Processing TAR Document Is and when it's used

The Processing TAR Document is a standardized transaction authorization and routing form used to record a requestor's instructions, approvals, and supporting data required to start or alter a business process. It typically captures requester identity, authorization codes, document and asset references, routing destinations, processing priority, and any required attachments. Organizations use a TAR to create a traceable handoff between intake and operations teams, to trigger downstream workflows, and to record audit data for compliance reviews. The form is often used in finance, legal intake, claims processing, and permit handling.

Why using a clear Processing TAR Document matters

A well-completed TAR reduces processing delays, creates a clear audit trail, and lowers rework by capturing authorization, routing, and required attachments at intake.

Why using a clear Processing TAR Document matters

Who completes or approves a Processing TAR Document

Different roles create and act on TARs depending on organizational structure; the form bridges requestors, approvers, and operations.

  • Requestor teams: department staff that submit transaction details and supporting files for approval and processing by operations.
  • Approvers: managers or authorized signers who verify eligibility, budget, or legal authority and provide a dated signature or electronic approval.
  • Processing teams: operations or back-office staff who receive the TAR, follow routing instructions, and record completion information.

Proper role identification at the outset prevents routing errors and clarifies who can sign or revoke authorizations.

Step-by-step: completing a Processing TAR Document

Follow these steps in order to ensure the TAR routes correctly and meets audit requirements.

  • 01
    1. Identify: Enter requester name, department, and contact information.
  • 02
    2. Reference: Record related document numbers, account, or project codes.
  • 03
    3. Authorize: Select approver and capture signature or e-approval.
  • 04
    4. Route: Set processing queue, priority, and attach required files.

Security, compliance, and technical data to include

Encryption: TLS 1.2/1.3 in transit; AES-256 at rest
Audit Trail: Timestamps, IP, signer attribution
Authentication: Email link, SMS code, or stronger
HIPAA: BAA required for protected health data
ESIGN/UETA: Meets ESIGN and UETA legal tests
Retention: Tamper-evident storage and versioning

Common errors that delay TAR processing

  • Incomplete authorization fields: missing approver or unsigned blocks cause manual holds and require re-submission, adding days to processing.
  • Incorrect reference numbers: typos in project or account codes prevent automated linking and force manual research by operations.
  • Insufficient attachments: omitting required supporting documents leads to follow-up requests and stalls downstream approval workflows.
  • Wrong routing selection: selecting the wrong queue sends the TAR to the incorrect team and increases resolution time significantly.

Compliance risks and penalties associated with incorrect TARs

Tax Reporting: Missing or incorrect data can lead to IRS penalties and information-reporting errors.
Regulatory Fines: Failure to retain records or follow privacy rules can trigger agency enforcement.
I-9 Exposure: Employment eligibility paperwork errors risk DHS penalties.
HIPAA Breach: Improper handling of PHI may lead to civil penalties and corrective action.
Operational Loss: Processing errors can result in financial loss or contractual breach.
Reputational Harm: Repeated errors reduce stakeholder trust and increase audit scrutiny.

How electronic TAR processing typically flows

This sequence describes a common eSubmission workflow from intake through final recording.

  • Upload: Attach TAR PDF or completed form to the intake system.
  • Field Placement: Define required signer and metadata fields for the request.
  • Authenticate: Signer confirms identity via email, SMS, or higher assurance.
  • Complete: Signed TAR is routed and archived with an audit record.

Configuring an online TAR workflow

Key settings to configure before issuing TARs electronically.

Field Configuration
Automatic routing Set rules to forward TARs by department or project code.
Signer authentication Choose email, SMS OTP, or KBA for required assurance.
Conditional fields Show fields only when specific selections apply.
Retention policy Define archive duration and access controls.

Digital signing and submission requirements

Ensure your eSignature platform supports necessary authentication, storage, and compliance features before eSubmitting TARs.

  • Authentication Options: Email link, SMS, KBA, or advanced methods
  • Document Formats: PDF, DOCX, and form templates supported
  • Integrations: Salesforce, NetSuite, Google Workspace, Microsoft 365

Typical timelines and processing expectations

Processing times depend on internal SLAs, approver response time, and completeness of submitted information.

Initial review:

1–3 business days for intake verification

Approver response:

Target 3–5 business days unless SLA specifies faster

Escalation:

Escalate after SLA breach per internal policy

Final processing:

1–7 business days depending on routing complexity

Archival:

Immediate archival after completion with audit log

Key milestones during TAR processing

Track these sequential milestones to monitor progress from submission to closure.

01

Submission

Requestor completes TAR and attaches supporting documents.

02

Intake Verification

Operations validates completeness and assigns priority.

03

Approval

Authorized signer reviews and signs or requests changes.

04

Execution

Processing team completes actions and records outcomes.

Core elements to include in a professional TAR

Design the TAR to capture all decision points, approvals, and routing metadata so downstream teams can process without follow-up.

Header

Document title and unique TAR ID that links to internal systems, enabling consistent lookup and preventing duplicate processing of the same request.

Requester Details

Full legal name, department, contact, and employee or vendor ID to allow confirmation of authority and to populate notification workflows.

Reference Data

Project numbers, invoice or contract references, and relevant account codes that let automated systems attach the TAR to financial or case records.

Authorization

Designation of approver(s), approval conditions, and clear signature or electronic consent to demonstrate intent and authority to act.

Processing Instructions

Explicit routing steps, priority level, SLA expectations, and any conditional steps required before completion or payment.

Attachments

List required supporting files and include version control or checksum information to ensure the right documents accompany the TAR.
