What the Product Launch Release Form Is

A Product Launch Release Form is a written agreement that documents permissions, approvals, and legal releases required before a product or marketing campaign goes public. It typically records rights to use brand assets, assigns or confirms intellectual property ownership, documents third-party clearances, sets embargo or launch dates, and captures signatory approvals from legal, product, and marketing stakeholders. The form helps centralize launch-related consent and evidence of authorization so teams can demonstrate that assets were vetted and released according to company policy and applicable law.

Why you need a formal release for launches

A standardized Product Launch Release Form reduces legal and operational risk by capturing IP assignments, approvals, and confidentiality obligations in one record, making post-launch audits and dispute resolution straightforward.

Why you need a formal release for launches

Who typically completes and signs this form

Multiple internal and external stakeholders commonly complete or sign the Product Launch Release Form.

  • Product and Marketing Teams — coordinate asset lists, launch timing, and distribution responsibilities.
  • Legal and IP Counsel — review assignment, warranty, and clearance language to reduce liability.
  • External Vendors and Influencers — grant usage rights, confirm deliverables, and accept payment terms.

Core elements to include in a professional release

A complete Product Launch Release Form combines legal clarity with operational detail to ensure the product and associated materials can be published without ambiguity or third-party claims.

Scope

Define precisely which products, SKUs, campaigns, and assets are covered, including versions and territories.

IP Assignment

State whether intellectual property is assigned, licensed, or remains with the creator, with transfer language where required.

Permissions

List required third-party permissions (images, music, partner marks) and confirm that licenses are obtained.

Embargo and Timing

Specify embargo date/time, public launch date, and time zone for coordinated release across channels.

Approvals

Identify required signatories (product, legal, marketing) and the order or conditions for approval.

Warranties & Indemnity

Include brief warranties about rights and a limited indemnity covering IP infringement claims.

Step-by-step: completing and circulating the release

Follow a linear approval workflow to collect signatures and preserve an evidentiary audit trail for the launch.

  • 01
Prepare document: Populate product, asset list, dates, and clauses before routing.
  • 02
Attach exhibits: Include supporting licenses, mockups, and vendor agreements with the form.
  • 03
Route for review: Send sequentially to legal, product, then marketing for sign-off.
  • 04
Capture signatures: Collect signatures and preserve audit trail and final PDF.

Typical digital workflow for e-signature and distribution

A digital workflow ensures the right people sign in order, and signed copies are archived automatically for compliance and review.

  • Upload: Sender uploads the release form and attachments to the signing platform.
  • Field placement: Add signature, date, initial, and checkbox fields where required.
  • Signer authentication: Select email, SMS code, or stronger authentication per sensitivity.
  • Archive: Store final signed PDF with audit trail and version history.

Suggested platform settings for secure eSubmission

Configure the signing system to match your internal controls and the sensitivity of launch materials.

Field Configuration
Signer Order Enforce sequential signing: Legal → Product → Marketing.
Authentication Level Use email + SMS code for standard releases; use KBA for high-risk assets.
Retention Policy Retain signed records in read-only archive for the required statutory period.
Access Controls Restrict edit rights; allow read access to compliance and audit teams.

Delivery options, integrations, and file formats

Choose distribution channels and integrations that match existing systems and compliance needs.

  • Integrations: Salesforce, NetSuite, Microsoft 365 supported
  • File formats: PDF, DOCX, and HTML accepted
  • Storage: Box, Google Drive, and AWS compatible

Security and compliance features to verify

In transit: TLS 1.2 / TLS 1.3 encryption
At rest: AES-256 encrypted storage
Authentication: Multifactor and KBA options
Regulatory: ESIGN and UETA compliant
Certifications: SOC 2 Type II and ISO 27001
Healthcare: HIPAA support with BAA

Common mistakes that delay launch approvals

  • Using inconsistent product names across documents, which creates ambiguity about the assets being released and triggers legal follow-ups.
  • Failing to list all third-party assets or license terms, causing last-minute takedown requests or rights disputes after publication.
  • Routing the form to the wrong approver or skipping legal review, which can leave IP and compliance risk unaddressed.
  • Collecting initials instead of full signatures where full-signature language is required, potentially undermining enforceability.

Key legal and operational risks to watch

Unclear IP: Ownership disputes
Unauthorized Use: Third-party claims
Premature Release: Embargo breaches
Noncompliance: Regulatory exposure
