Practical tips to reduce errors and speed approvals

Practical advice to improve accuracy, reduce approval cycles, and maintain compliance when using the Project CPS-PJ Template.

Standardize party names
Use registered legal names consistently across all sections and attachments. Cross-check with tax documentation and vendor onboarding records. Name mismatches are a leading cause of payment delays and may trigger backup withholding or contract disputes.
Attach required exhibits
Bundle referenced exhibits and permits with the template. Label exhibits clearly and reference them in scope and payment sections to avoid ambiguity. Missing exhibits often delay approvals and contract acceptance.
Use conditional fields
Implement conditional fields for optional provisions so signers see only applicable clauses. This reduces signer confusion, prevents inadvertent acceptance of irrelevant terms, and improves data quality for downstream processing and reporting.
Confirm signer authority
Before execution, verify that each signer has authority to bind their organization. Collect delegations, corporate resolutions, or purchase order approvals as evidence. Retain these documents with the executed template to reduce future disputes.
