What the Project Draw Schedule Template Is

A Project Draw Schedule Template is a structured document used to request and document periodic disbursements on a construction or renovation project. It lists draws by number or milestone, ties each draw to delivered work or completed milestones, shows requested amounts and retainage, and identifies required supporting items such as invoices, lien waivers, inspection reports, or photographs. Lenders, owners, contractors, and project managers use the template to coordinate approvals, confirm compliance with the contract and budget, and create an auditable trail for funds released throughout the project lifecycle.

Why a Clear Draw Schedule Matters

A concise draw schedule reduces payment delays, clarifies milestone expectations, and provides an auditable record that helps manage cash flow and mitigate disputes between owners, lenders, and contractors.

Why a Clear Draw Schedule Matters

Who Typically Prepares and Reviews Draw Schedules

Common users include parties responsible for project finance, delivery, and compliance; roles vary by project size and funding source.

  • Real Estate professionals and brokers — coordinating closings and construction financing; Real Estate accounts for 15% in typical user distributions.
  • Lenders and financial officers — review draws against budgets and loan covenants; often approve or request clarifications.
  • General contractors and project managers — submit draws, attach supporting documents, and track retainage and completion.

Essential Parts of a Professional Draw Schedule

A complete template groups financial and progress details clearly so reviewers can confirm work completed, outstanding obligations, and the exact funds requested.

Draw Identifier

Unique draw number or milestone name to reference in correspondence, invoices, and lender disbursement records for consistent tracking across documents.

Requested Amount

Line-item dollar amount being requested, plus calculation of retainage and net payable; tie amounts to contract schedule of values or percent complete.

Work Description

Concise description of completed scope tied to the contract and inspection results; include percent complete where applicable for lender reconciliation.

Required Attachments

Space to list and attach invoices, lien waivers, supplier releases, inspection reports, and photos required by contract or lender policy.

Approvals

Named approvers, role-based signing order, and fields for dates and signature acknowledgements to create an audit trail of authorization.

Budget Reconciliation

Running totals that show original contract, previous draws, current draw, retainage, and remaining budget to prevent overpayment.

Step-by-Step: Submitting a Draw Request

Follow a consistent submission sequence so reviewers receive complete documentation and can process payments without resubmission.

  • 01
Prepare Documents: Assemble invoices, lien waivers, photos, and inspection reports for the milestone.
  • 02
Complete Template: Fill draw number, amount, work description, and retainage calculations.
  • 03
Attach Files: Upload supporting files and confirm file formats (PDF preferred).
  • 04
Send for Approval: Submit to approvers in the defined order and monitor status.

Configure an Online Approval Workflow

Set approval order and field rules to automate routing and reduce manual steps in the draw review process.

Field Configuration
Approval Order Sequential approvers defined by role and email
Conditional Fields Show/require fields based on draw type or amount
Auto Calculations Use formula fields to compute totals and retainage
Notifications Email or SMS alerts for pending approvals

Technical Considerations for eSubmission

Confirm platform compatibility, file formats, and integrations before sending draws electronically.

  • File Formats: Prefer PDF; Word DOCX accepted; avoid oversized images
  • Integrations: Supports Salesforce, NetSuite, Procore, Google Workspace
  • Authentication: Use email, SMS codes, or stronger methods for high-value draws

Where to Send or File the Completed Template

Route the completed draw schedule to the party designated in the contract and to any other required stakeholders for parallel recordkeeping.

  • Primary Lender: Send to the lender’s draw desk or loan servicing email address for disbursement review.
  • Owner or Sponsor: Provide owner copies for transparency and parallel approvals where required by contract.
  • Construction Manager: File with the CM to reconcile work completed and schedule of values.
  • Accounting: Deliver to accounts payable for payment processing once approvals complete.

Typical Timelines and Processing Expectations

Timelines vary by lender and contract; provide realistic expectations to stakeholders and build buffer time into the schedule.

Submission Window:

Submit draws per contract schedule or monthly cutoff dates

Lender Review Time:

Review typically 3–10 business days depending on completeness

Funding Release:

Funding commonly occurs 3–7 days after approval

Inspection Timing:

Inspections often coincide with or precede draw submission

Resubmission Delay:

Missing items often add 5–15 business days to processing

Key Milestones from Request to Payment

A sequential view clarifies responsibilities and expected timeframes at each stage of draw processing.

01

Prepare Request

Compile invoices, waivers, and inspection evidence for the draw.

02

Submit to Lender

Send the complete schedule and attachments to the lender or funding authority.

03

Approval and Conditions

Lender reviews, requests clarifications, or issues conditional approval.

04

Disbursement

Funds are released, applied to invoices, and recorded in accounting.

Practical Tips to Speed Approval and Reduce Errors

Small process improvements reduce back-and-forth and keep project cash flow predictable.

Use a Consistent Schedule Format
Standardize the template across projects so reviewers always find the same information in the same place, reducing review time and preventing omissions.
Attach Complete Supporting Documents
Include original invoices, signed lien waivers, and inspection reports to prevent resubmission requests and speed lender approval.
Automate Calculations
Use formula fields to calculate retainage, totals, and cumulative draws to avoid manual math errors and audit discrepancies.
Maintain Version Control
Label revised schedules clearly and date each version so approvers reference the current request and avoid processing older drafts.

Common Preparation Mistakes to Avoid

  • Missing or unsigned lien waivers that cause lenders to hold funds until clearances are obtained.
  • Inconsistent draw numbering or schedule of values that makes reconciliation between invoices and draws difficult.
  • Poorly documented percent complete statements that force inspectors or lenders to request additional proof.
  • Incorrect retainage calculations that cause net payable discrepancies and slow accounting reconciliation.

Risks and Consequences of Incorrect or Late Draws

Funding Delays: Project cash-flow interruptions
Contract Disputes: Claims and change order litigation
Lien Exposure: Outstanding unpaid subcontractor risk
Regulatory Fines: Reporting or compliance penalties
Audit Findings: Accounting discrepancies and restatements
Credit Holds: Suspended vendor or lender relationships
