What the Project Draw System Sheet Is

Project Draw System Sheet is a standardized construction payment and draw tracking form used to request scheduled disbursements from a construction loan or project fund. It documents completed work, materials on site, and percent complete against the project budget, and it links retainage and lien waiver requirements to each draw. Typical recipients include construction lenders, owners, general contractors, and disbursement agents. The sheet supports audit trails and attachments such as invoices, lien waivers, and inspection reports to substantiate each payment request.

Why a Clear Draw Sheet Matters

A Project Draw System Sheet provides a clear, auditable record tying construction progress to specific disbursements, reduces payment disputes, and enforces contract terms such as retainage and lien releases. It streamlines lender approvals and improves financial transparency.

Why a Clear Draw Sheet Matters

Who Typically Prepares and Reviews Draw Sheets

Primary users include lenders, general contractors, owners, and project administrators who manage construction disbursements and compliance.

  • Construction lenders and loan administrators verifying progress and authorizing draws.
  • General contractors submitting certified work statements, invoices, and lien waivers for payment.
  • Owners, project managers, or inspectors reviewing percent complete and funding releases.

Smaller subcontractors and suppliers may also provide supporting invoices to ensure prompt payment and to maintain lien release eligibility.

Step-by-Step: Preparing and Submitting a Draw

Follow this sequential guide to prepare, verify, and submit a draw using the Project Draw System Sheet for lender review and approval.

  • 01
Prepare Packet: Assemble line items, invoices, and waivers.
  • 02
Verify Data: Confirm calculations, dates, and contract references.
  • 03
Upload Attachments: Attach PDFs and photos; name files clearly.
  • 04
Submit for Approval: Send to lender and required approvers.

How Electronic Draw Submission Typically Flows

Typical workflow moves from document preparation to electronic submission, authentication, lender review, and recorded disbursement upon approval.

  • Upload Document: Start by uploading the populated draw sheet.
  • Assign Signers: Add lender, owner, and contractor signers.
  • Authenticate Signers: Choose email, SMS, or KBA as needed.
  • Audit Trail: System records timestamps, IP, and signer actions.

Common Online Workflow Settings

Typical online workflow settings define fields, signer order, authentication, notifications, and attachment requirements for automated draw processing and tracking.

Field Configuration
Signer Order Lender then owner then contractor in defined sequence.
Authentication Email link by default; SMS or KBA optional.
Notification Settings Email notices to approvers with configurable reminders.
Attachment Required Invoices and lien waivers required before submission.

Technical Requirements and Integrations

Electronic submission works with most eSignature platforms and cloud storage integrations for efficient routing and recordkeeping.

  • Integrations: Salesforce, NetSuite, Procore supported.
  • File Formats: Accepts PDF, DOCX, and XLS.
  • Security: TLS in transit; AES-256 at rest.

Key Elements to Include on a Professional Sheet

Well-structured Project Draw System Sheets combine itemized cost lines, progress metrics, supporting attachments, approval routing, lien waivers, and signature evidence for fund release.

Project Summary

Concise project name, loan or contract number, location, and reporting period. Include contractor name and contact information so reviewers can match the draw to the correct loan and site.

Line Items

Itemize costs by category (labor, materials, equipment), list original budget, change orders, amounts previously paid, current request, and remaining balance to show how each draw affects project funding.

Percent Complete

State percent complete overall and by line item. Use consistent measurement method and include date of inspection or progress verification supporting the reported percentage entry.

Supporting Docs

Attach invoices, purchase orders, delivery receipts, inspection reports, photographs, and signed lien waivers. Label attachments clearly and reference each file in the corresponding line items for fast verification.

Approvals

Document required approvers and approval order (lender, owner, architect). Include dates, printed names, and titles for each signer to create an auditable approval trail before funds are released.

Signatures

Provide signatory blocks with name, title, organization, and date. For electronic execution, capture signer authentication, IP address, and timestamp to support ESIGN/UETA enforceability and audit trail evidence.

Typical Timing and Deadline Considerations

Typical timing rules and deadlines govern draw submission, lender review, inspection scheduling, and disbursement processing; plan for lender-specific approval windows.

Submission Deadline for Each Draw:

Submit per lender schedule, often monthly or per milestone.

Inspection and Progress Verification Window:

Expect inspections within seven to fourteen days of request in many projects.

Lender Internal Review Turnaround Time:

Typical review takes three to ten business days depending on documentation completeness.

Disbursement Posting After Final Approval:

Funds typically post within one to five business days after lender authorization.

Retainage Release Schedule and Conditions:

Specify retainage percentage and conditions for final release; final lien waivers usually required.

Common Risks and Penalties for Incomplete or Incorrect Sheets

Payment Delays: Missing attachments delay funds.
Lien Risk: Unsigned waivers risk liens.
Tax Withholding: Wrong TIN triggers 24% backup withholding.
Regulatory Noncompliance: Incomplete records may violate loan covenants.
Audit Exposure: Insufficient audit trails hinder audits.
Contract Disputes: Inaccurate percent complete can cause disputes.
