What the Project Exhibit Assignment Is

A Project Exhibit Assignment is a contract attachment that formally assigns, describes, or transfers responsibility for a specific exhibit, deliverable, or piece of project documentation from one party to another. It identifies the exhibit by title and number, clarifies the scope of deliverables, and records any rights, obligations, or timelines tied to that exhibit. Typical uses include assigning subcontractor deliverables, transferring technical drawings, or documenting who accepts a discrete scope item. Properly completed, the form creates a clear audit trail for later verification and dispute resolution.

Why a Clear Assignment Matters

A precise Project Exhibit Assignment reduces ambiguity about ownership, responsibility, and acceptance criteria for discrete work items. It lowers dispute risk and supports accurate project billing, compliance, and archival practices.

Why a Clear Assignment Matters

Who Typically Completes This Assignment

Parties that sign are usually those with contractual authority to assign or accept the specified exhibit; verify signature authority before execution.

  • Project managers and PMOs responsible for deliverable acceptance and scope control.
  • Contract administrators and legal teams handling assignment language and recordkeeping.
  • Subcontractors and vendors confirming transfer or acceptance of specific exhibits.

Essential Parts of a Professional Project Exhibit Assignment

A complete assignment includes a clear header, exhibit identifier, concise description of items assigned, effective date, signatory blocks with authority statements, and a revision or attachment list for supporting documentation.

Header

Document title, project name, and unique assignment ID to ensure the exhibit is identifiable in project and contract records.

Exhibit Identifier

Reference the original contract exhibit number or title and include page or drawing numbers so recipients can locate the source material quickly.

Scope Description

Describe precisely what is assigned (documents, drawings, specifications, data) and any limitations on use or redistribution.

Effective Date

State the MM/DD/YYYY date when the assignment takes effect and note whether partial performance or conditional approvals alter the effective date.

Signatures

Include printed name, job title, authority statement, and date for each signatory; corporate signatures should reference role and signing authority.

Attachments

List supporting documents, versions, or redlines attached as exhibits and include a version or revision number for each attachment.

Typical Timelines and Processing Expectations

Estimate internal and external turnaround times and add buffer for notarization or legal review to avoid project delays.

Internal Review Window:

3–5 business days for legal and PM review

Signer Response Time:

1–7 business days depending on signer availability

Notarization Lead Time:

Allow 3–10 days if in-person notary required

Filing or Recording:

Varies by agency; plan additional weeks

Processing Expectation:

Keep a 10–15 business day buffer

Common Mistakes to Avoid

  • Using informal exhibit descriptions instead of specific drawing or file numbers, which makes locating the source material difficult during disputes.
  • Failing to confirm the signer's authority or corporate capacity, increasing the likelihood of an assignment being challenged.
  • Omitting version numbers or attachment lists, which can lead to disagreements about which file was assigned or accepted.
  • Not preserving an audit trail (timestamps, IP, signer identity) when using electronic signing, complicating later validation or enforcement.

Consequences of an Incorrect or Incomplete Assignment

Invalid Assignment: May be unenforceable
Contract Disputes: Leads to litigation or arbitration
Payment Delays: Billing holds or withheld funds
Regulatory Risk: Compliance exposure for regulated work
Recordkeeping Errors: Impacts audits and claims
Increased Costs: Legal and remediation expenses

Real-World Examples of Exhibit Assignments
