What the Project Field Log Template Records

The Project Field Log Template is a standardized on-site record used to capture daily work activities, crew members, equipment usage, materials delivered, weather conditions, safety incidents, and progress against milestones. It combines header metadata, line-item task entries, time and quantity fields, photo placeholders, and signature blocks so teams have a single chronological, auditable document for invoicing, change orders, inspections, and dispute resolution.

Why a Standardized Field Log Matters

Using a consistent Project Field Log Template reduces ambiguity in day-to-day records, speeds approval of pay applications, and preserves evidence for claims or inspections. Standardization supports faster reconciliation, clearer subcontractor accountability, and improved regulatory or contractual compliance with documented site activity.

Why a Standardized Field Log Matters

Who Typically Completes a Project Field Log

Field supervisors, foremen, and project managers normally complete the daily entries and verify site conditions before routing.

  • General contractor site supervisor responsible for crew tracking, daily output, and safety notes.
  • Subcontractor foreman who records trade work, materials used, and labor hours per task.
  • Owner's representative or clerk verifying progress entries for pay application and inspection purposes.

The template is also reviewed by contract administrators, owner representatives, and company auditors during reconciliation and claim review.

Core Sections to Include in a Professional Field Log

A robust Project Field Log Template groups metadata and repeatable entry lines so teams can capture the same set of facts consistently across days and projects.

Header Metadata

Project name, contract number, date, location, and reporting party to ensure clear indexing and linkage to project files.

Daily Entries

Line-item rows for each task with start/stop times, crew assigned, task description, and progress notes to support accountability.

Quantities & Hours

Fields for units, quantities, and labor hours linked to cost codes so time and materials map to invoices and payroll.

Safety & Incidents

Dedicated section for near misses, incidents, OSHA recordables, corrective actions, and personnel involved for regulatory audits.

Photos & Attachments

Placeholders for timestamped photos or attachments and a short caption field to document visual progress or site issues.

Signatures & Approval

Lines for preparer and supervisor signatures, printed names, and printed date to authenticate entries prior to routing or billing.

Step-by-Step: Completing a Daily Project Field Log

Follow these four practical steps each day to produce reliable, auditable field logs suitable for billing and compliance.

  • 01
Prepare Template: Open the correct project template and confirm header metadata.
  • 02
Record Entries: Log tasks, crew, hours, quantities, and materials as work occurs.
  • 03
Attach Evidence: Add timestamped photos or delivery tickets to support entries.
  • 04
Review and Sign: Supervisor reviews entries, signs, and routes for approvals.

Configure an Online Workflow for Field Log Completion

Set up a simple digital workflow so field staff can complete logs on mobile devices and managers receive structured notifications.

Field Configuration
Upload Template Import editable PDF or DOCX as the base form.
Required Fields Mark project, date, and signature fields as mandatory.
Conditional Logic Show incident fields only when 'incident' checkbox selected.
Signer Roles Assign preparer, supervisor, and reviewer roles with email addresses.

Typical Digital Submission Flow for a Field Log

A consistent digital flow helps reduce missing information and accelerates approvals for pay applications and closeouts.

  • Collect Data: Field user completes template on mobile or tablet.
  • Attach Media: Add photos, tickets, and supporting files to the entry.
  • Sign and Send: Preparer signs, supervisor signs, and document is routed.
  • Archive: Final record stored with audit trail for retrieval.

Technical Considerations for eSubmission and Storage

Confirm platform compatibility, acceptable file formats, and available signer authentication before deploying digital field logs.

  • Supported Formats: PDF, DOCX, and XLSX are commonly accepted for templates.
  • Integrations: Procore, Salesforce, NetSuite, Microsoft 365, Google Workspace integrations available.
  • Authentication Options: Email, SMS code, KBA, and SSO for stronger signer identity.

Timing Expectations and Submission Deadlines

Document timing requirements affect pay applications, payroll, and regulatory reporting; make timelines explicit in contract procedures.

Daily Entry Window:

Complete and sign daily logs within 24 hours of work.

Weekly Reconciliation:

Supervisors should review logs and correct errors weekly.

Pay Application Cutoff:

Submit logs supporting pay runs per contract schedule.

Claims Evidence:

Preserve contemporaneous logs to support any change-order claims.

Retention Trigger:

Retention periods begin on the document creation date.

Key Project Log Milestones During a Project

Track field log milestones from daily capture through archive to ensure records are complete at each contractual stage.

01

Daily Capture

Entries recorded on the day work occurs, including photos and tickets.

02

Weekly Review

Supervisor verifies entries and resolves discrepancies with crews.

03

Monthly Reconciliation

Project admin reconciles daily logs to invoices and payroll.

04

Project Closeout

Finalized logs archived and provided for final accounting or claims.

Common Mistakes to Avoid When Preparing Field Logs

  • Delaying entries until weeks later, which produces inconsistent or unverifiable time and quantity records and increases disputes.
  • Using ambiguous task descriptions or missing cost codes, which complicates matching logs to invoices and pay applications.
  • Omitting supporting evidence such as photos or delivery tickets, reducing the probative value of the log for claims.
  • Allowing unsigned or undated entries, which may be rejected by owners, auditors, or insurers during review.

Consequences of Inaccurate or Missing Field Logs

Payment Delays: Late or reduced payments.
Claim Disputes: Weakened position in change-order claims.
Regulatory Exposure: Possible OSHA or agency penalties.
Quantity Errors: Incorrect invoice amounts.
Signature Gaps: Rejected records in audits.
Payroll Risk: I-9/payroll documentation complications.

Project managers and authorized supervisors sign to verify daily entries, confirm quantity accuracy, and accept responsibility for the log; their signature typically certifies that the recorded information reflects observed site conditions and resource usage for billing or inspection purposes.

Owner's Representative

Owner or owner's rep signs when required to accept progress for pay applications or inspections; their sign-off validates the contractor's record and may trigger payment or inspection acceptance under contract terms.

Real-World Examples of Field Log Use

These customer examples illustrate how standardized field logs improve documentation and speed administrative tasks across projects.

Tim Martin — Martin Properties

Field logs processed online across devices and offline sync when needed, improving turnaround for approvals.

  • Practical impact: faster invoice support and fewer disputes.
  • Martin reported the ability to execute documents online with full compliance, using timestamped photos and signer verification to close out tenant improvement projects without repeated site visits, which reduced administrative lag during turnovers.

Dan Rotelli — BIS

Standardized templates reduced variability across crews and sites, improving audit readiness.

  • Practical impact: clearer evidence for claims and reconciliations.
  • BIS found that consistent logs coupled with secure storage and audit trails simplified internal audits and contract closeouts, enabling the company to substantiate change-order requests more quickly and reduce back-and-forth between project teams and owners.
