What the Project Management Additional Functionality Template Is

The Project Management Additional Functionality Template is a formal contract addendum used to document agreed changes to project scope, deliverables, schedule, costs, and acceptance criteria. It standardizes how additional features or services are proposed, reviewed, and accepted during an active project, reducing ambiguity about responsibilities, payment terms, and timelines. The template supports signatures from project stakeholders and can be executed electronically where permitted, enabling consistent recordkeeping and an auditable trail of approvals for later reference or dispute resolution.

Why a Standardized Addendum Helps Project Delivery

A clear additional-functionality template reduces rework, clarifies costs and acceptance criteria, and preserves an evidentiary record of approvals and scope decisions for audits or claims.

Why a Standardized Addendum Helps Project Delivery

Which Roles Typically Use This Template

Teams use this template to manage scope changes consistently across projects and stakeholders.

  • Project management offices and program managers coordinating scope and resources.
  • Procurement and contracting teams authorizing cost or term changes.
  • Client account managers or product owners approving added features.

Standardization helps legal, procurement, and project teams coordinate approvals, invoicing, and release management.

Key Milestones From Request to Acceptance

A sequential milestone view helps teams coordinate approvals, procurements, and handoffs after a scope change is requested.

01

Change Request Submitted

Stakeholder documents requested functionality and business justification.

02

Technical and Cost Review

PM and engineering estimate effort and budget impact.

03

Formal Approval

Authorized signatories approve costs, schedule, and acceptance criteria.

04

Release and Acceptance

Work delivered, tested per criteria, and signed off by client.

Common Mistakes to Avoid When Preparing the Addendum

  • Vague scope descriptions that omit deliverable formats or acceptance data cause disputes and delay sign-off by weeks.
  • Failing to list dependencies or impacted features can create unexpected rework and budget overruns during implementation.
  • Not aligning payment milestones to measurable acceptance criteria can lead to invoicing delays and withheld payments.
  • Skipping version control for affected documents leads to confusion about which requirements apply during development and testing.

Risks and Consequences of an Incorrect or Missing Addendum

Scope Disputes: Delays, increased costs, and potential contract claims.
Payment Delays: Invoices may be rejected without clear acceptance terms.
Regulatory Exposure: Industry-specific requirements may be unmet, risking noncompliance.
Audit Findings: Incomplete records lead to adverse audit conclusions.
Operational Delays: Unclear handoffs slow development and release schedules.
Reputational Harm: Repeated contract issues can damage client relationships.
