Failure to meet acceptance criteria will trigger remediation at the Service Provider's expense as described in the change control section.

Testing Plan and Sample Requirements

Test Methodology: The Service Provider shall use controlled procedures to measure adhesive performance characteristics including but not limited to bond strength, cure time, peel and shear properties, and environmental durability under the conditions agreed below.

Environmental Conditioning Required: Room Temperature Thermal Cycling Humidity Conditioning

Timeline and Milestones

Budget and Payment

The Client agrees to compensate the Service Provider under the terms below. All amounts are exclusive of taxes unless otherwise stated.

Change Control Process

All changes to scope, schedule, or cost must be submitted as a written Change Order that includes technical rationale, cost impact, schedule impact, and required approvals. Work impacted by a proposed change shall not proceed until the Change Order is executed by authorized representatives of both parties.

Confidentiality and Data Handling

Both parties shall treat all samples, test results, and proprietary information exchanged under this agreement as Confidential Information. Confidential Information shall not be disclosed except as required by law or as necessary to perform obligations under this agreement. The Service Provider shall retain test records for a minimum of one year unless otherwise agreed in writing.

Liability, Indemnification, and Warranties

The Service Provider warrants that services will be performed in a professional manner consistent with industry practice. Except for willful misconduct, each party's liability shall be limited to direct damages and shall not exceed the total contract value. Each party shall indemnify the other for claims arising from its negligent acts or breaches of this Agreement.

Governing Law

This Agreement and any disputes arising out of it shall be governed by the laws of the state or jurisdiction specified below, without regard to conflict of law principles.

Final Acceptance Procedure

Final acceptance shall occur upon delivery of the final report and resolution of any nonconformities identified during the review period. The Client shall provide written acceptance or a written list of deficiencies within ten (10) business days of receipt.

What the Project Management Adhesive Validation Is

The Project Management Adhesive Validation is a structured validation record used to document testing, approval, and deployment of adhesives within a project lifecycle. It records product identifiers, batch numbers, test protocols, environmental conditions, pass/fail criteria, corrective actions, and final authorization. The form creates a traceable chain of custody linking laboratory or field test results to the control plan and procurement records, supporting quality assurance, regulatory review, and warranty requirements. Use it to centralize evidence that an adhesive meets the project’s specified mechanical, chemical, and safety requirements before installation.

Why a Formal Adhesive Validation Matters for Projects

A formal validation protects schedule, safety, and performance by documenting test methods, acceptance criteria, and approvals. It reduces rework risk and provides auditable evidence for quality and regulatory reviews.

Why a Formal Adhesive Validation Matters for Projects

Who Typically Prepares and Reviews This Validation

Collaborative completion ensures decisions are documented and responsibility for approval is clear across stakeholders and suppliers.

  • Project Managers and Coordinators responsible for schedule and contract compliance on installation timelines and acceptance.
  • Quality Engineers who design test plans, interpret results, and decide corrective actions where performance falls short.
  • Procurement and Suppliers who provide batch documentation, material safety data sheets, and certificate of conformance for adhesive lots.

Step-by-Step: Completing an Adhesive Validation Record

Follow these ordered steps to produce an accurate, auditable validation record from sample receipt through final approval.

  • 01
Prepare: Collect product data, MSDS, and procurement documents before testing.
  • 02
Sample: Log sample ID, chain of custody, and storage conditions at receipt.
  • 03
Test: Run specified tests and record raw data, environmental conditions, and operator.
  • 04
Approve: Reviewer verifies results against acceptance criteria and signs off.

How to Configure an Online Validation Workflow

Set up a digital workflow that mirrors the validation steps: intake, testing, review, and archival. Define roles and notifications.

Field Configuration
Intake Form Require product, batch, and PO fields; make batch required.
Testing Step Attach result fields, pass/fail toggle, and file upload for raw data.
Review Step Assign to quality engineer with email and mobile notification.
Archive Store signed PDF, audit trail, and attachments in project folder.

Where to Send and File the Completed Validation

Routing and filing should be consistent with project document control to ensure discoverability and regulatory readiness.

  • Project Folder: Save final signed record in the central project document repository.
  • Quality System: Upload test data and approvals to the QA/QC system for traceability.
  • Supplier File: Send a copy to the supplier for batch confirmation and corrective actions.
  • Procurement: Attach validation to the purchase order closure package.

Digital Delivery and Integration Considerations

Ensure the platform retains full audit logs and exports a read-only signed copy for long-term storage and compliance.

  • File formats: PDF, DOCX, CSV supported
  • Integrations: Salesforce, NetSuite, Google Workspace
  • Authentication: Email, SMS, or SSO options

Core Elements of a Professional Adhesive Validation

A complete validation includes technical, administrative, and traceability elements that collectively demonstrate conformity to project requirements.

Sample Identification

Unique sample IDs plus chain-of-custody entries link physical samples to test records and procurement, enabling recalls and batch-level investigation.

Test Methods

List referenced standards (for example, ASTM designations) and step-by-step procedure notes so results are reproducible and defensible.

Environmental Conditions

Record temperature, humidity, and cure time; adhesives are sensitive to these variables and results depend on documented conditions.

Results and Analysis

Include raw measurements, statistical summaries, pass/fail determination, and any deviation from expected performance or acceptance criteria.

Nonconformance Actions

Describe containment, retesting requirements, supplier notification, and corrective action timelines when a sample fails.

Approval Record

Final authorization block with printed name, title, signature, and date demonstrating who accepted the material for use.

Essential Information to Capture

Project ID: Unique project identifier
Product Code: Manufacturer product code
Batch ID: Supplier lot number
Test Method: Referenced standard name
Result Summary: Pass, Fail, or Conditional
Approver: Name and title

Common Preparation and Submission Mistakes

  • Failing to record batch or lot numbers makes it impossible to link failed tests to incoming material and may force wide rework.
  • Using vague acceptance criteria such as 'meets project needs' rather than numerical thresholds increases disputes and delays approvals.
  • Omitting environmental conditions during testing leads to non-reproducible results and undermines the credibility of validation data.
  • Storing signed records only in email threads prevents reliable archival and audit retrieval; use central document control instead.

Risks from Incomplete or Incorrect Validation Records

Schedule Delay: Work stoppage risk
Warranty Exposure: Claims and liability
Cost Overrun: Rework and replacement
Regulatory Risk: Noncompliance citations
Safety Hazard: Field failures risk injury
Traceability Loss: Recalls become costly

Typical Timelines and Processing Expectations

Set and communicate clear deadlines for sample submission, test completion, and final approval to avoid project bottlenecks.

Sample Submission Deadline:

Submit samples at least 14 days before planned installation.

Lab Turnaround Time:

Standard tests typically complete within 7–14 calendar days depending on scope.

Corrective Action Window:

Supplier must respond to nonconformance within 10 business days.

Final Approval Period:

Quality team to review and sign within 5 business days after results.

Record Archival:

Signed record archived within 3 business days of approval.
