What the Project Management CM BOH Draft Is

The Project Management CM BOH Draft is a structured project-management document used to record contract management decisions, back-of-house (BOH) coordination details, and formal change or clarification items during project delivery. It captures parties, scope adjustments, schedules, responsibilities, approvals, and supporting references so stakeholders have a single, auditable draft for review before a final CM (Construction Manager or Contract Manager) directive or change order is issued.

Why a Clear CM BOH Draft Matters

A properly prepared CM BOH Draft reduces ambiguity, preserves an audit trail of project decisions, and helps align contract expectations. It supports compliance with procurement rules and minimizes downstream disputes by documenting authority, dates, and rationale in a standardized format.

Why a Clear CM BOH Draft Matters

Who Typically Prepares or Reviews This Draft

Use the draft as a controlled document for internal approvals, and move to a finalized change order or directive only after required sign-offs and any necessary notarization or countersignature steps.

  • Project Managers and CM Leads who coordinate scope, schedules, and contractors and need a consolidated record of BOH decisions.
  • Contract Administrators and Procurement who verify compliance with contract terms and signatory authority.
  • Legal and Risk teams who confirm contractual language, liability allocation, and required approvals.

Who Signs and Why

Contract Manager

The Contract Manager typically has day-to-day authority to prepare the draft, coordinate attachments, and obtain internal approvals. They must ensure the draft references the controlling contract, includes justification for changes, and lists impacted schedule and cost items in clear line-item format.

Executive Signatory

An executive or authorized officer provides final sign-off where contract thresholds require higher-level approval. That signer confirms authority to bind the company and accepts the legal and financial consequences described in the draft.

Core Components to Include in a Professional Draft

A complete CM BOH Draft groups required elements so reviewers can assess impact quickly. Each component should be concise, unambiguous, and supported by attachments where numbers or technical details are referenced.

Document Header

Project name, contract number, version or draft date, and a unique identifier for traceability across document controls and the project filing system.

Parties and Roles

Full legal names of owner, CM, contractors, and any third parties plus role definitions and the individual responsible for execution and notices.

Change Description

Clear description of the proposed change or BOH action, including the technical rationale, scope additions or deletions, and reference to original contract clauses.

Schedule Impact

Explicit effect on the project timeline: affected milestones, new durations, and any required resequencing or acceleration measures.

Cost and Funding

Line-item cost estimate or allowance, source of funds, contingency implications, and whether cost approval is pending or included.

Approvals and Signatures

Required approval chain, signature blocks with printed names and titles, and any witness/notary requirements or conditional e-sign steps.

Required Administrative and Security Data

Document ID: Unique alphanumeric identifier
Version Date: MM/DD/YYYY
Author: Full name and title
Custodian: Responsible department
Access Controls: Role-based permissions
Audit Trail: Timestamped signing record

Step-by-Step: Completing the CM BOH Draft

Follow these sequential steps to prepare a complete, approvable draft ready for routing and retention.

  • 01
Gather Background: Collect contract, scope exhibits, and technical attachments before drafting.
  • 02
Draft Change: Write a concise change description and impact summary.
  • 03
Estimate Impact: Calculate schedule and cost effects, cite assumptions.
  • 04
Route for Approval: Send to listed approvers and capture signatures in order.

How to Amend or Revise an Existing Draft

Use an amendment workflow to preserve version history and ensure all impacted parties review changes.

01

Identify Revision:

Describe why the amendment is needed.
02

Create Revision:

Update only affected sections and increment version.
03

Attach Evidence:

Include supporting quotes, drawings, or minutes.
04

Re-route Approvals:

Send to original approvers or new stakeholders as required.
05

Record Change:

Log the revision in the document control register.
06

Archive Prior Version:

Keep prior draft with a clear change summary.

Recommended Digital Workflow Settings

Configure the digital routing to match your approval chain and the document's sensitivity level.

Field Configuration
Signer Order Sequential routing with locking after each signature
Authentication Email + SMS code for external parties
Attachments Required supporting files must be uploaded before signing
Retention Flag Auto-archive on final approval

Typical Electronic Routing Flow

An electronic routing flow reduces delays by enforcing sequence and capturing audit data for each action.

  • Upload Document: Sender uploads the draft and required attachments.
  • Place Fields: Prepare signature, date, and optional conditional fields.
  • Send to Signers: Platform emails signers or generates secure links.
  • Capture Audit: System records timestamps, IPs, and method of authentication.

Technical and Integration Considerations

Ensure the selected platform provides audit trails, role-based access, and export options to meet compliance and recordkeeping needs.

  • File Types: PDF and DOCX support required
  • Integrations: Connectors for NetSuite, Salesforce, Google Workspace
  • Security: AES-256 at rest and TLS 1.2/1.3 in transit

Timelines and Expected Processing

Document timeframes depend on required approvals, statutory notice periods, and whether a notarization or RON step is needed.

Initial Draft Completion:

Typically within 2–5 business days after request

Internal Review:

Allow 3–7 business days for stakeholder review

External Approvals:

Varies; expedited routing can reduce to 24–48 hours

Notarization / RON:

Add 1–3 business days depending on availability

Final Record:

Archive immediately after the final signature and distribution

Key Milestones in Draft Processing

Track these numbered stages to monitor progress from creation to final archival.

01

1. Draft Issued

Document prepared and version stamped for circulation.

02

2. Internal Review

Procurement, legal, and technical teams provide comments.

03

3. External Signing

Authorized signers execute the document; record retained.

04

4. Archive and Close

Store final signed version and archive prior drafts.

Common Preparation Mistakes to Avoid

  • Omitting the contract number or using inconsistent project names causes misrouting and delays during procurement reconciliation processes.
  • Failing to attach required technical exhibits or cost backup forces rework and can invalidate approvals that rely on those attachments.
  • Using informal or ambiguous change descriptions increases negotiation time and raises the risk of disputes about scope and cost.
  • Skipping authority verification for signers can lead to rejected or unenforceable approvals if the signer lacks binding authority.

Risks and Potential Consequences of Errors

Contract Disputes: May lead to claims or arbitration
Payment Delays: Inaccurate cost entries can hold invoices
Regulatory Noncompliance: Missing disclosures may breach procurement rules
Invalid Signatures: Unauthorized signers can void approvals
Retention Failures: Improper archiving risks audit findings
I-9 or Tax Penalties: Related form errors may incur fines
