What the Project Management Delivery Template Is

The Project Management Delivery Template is a standardized document used to record the formal handover of project deliverables, specify acceptance criteria, and document responsibilities at completion. It consolidates scope details, key milestones, deliverable descriptions, acceptance tests, signatory blocks, dates, and associated attachments or change logs. Organizations use it to create an auditable trail of what was delivered, when, and by whom, and to trigger final payments, closeout activities, and retention workflows. The template supports both paper and electronic completion and can be adapted to sector-specific compliance requirements.

Why a Delivery Template Matters for Project Closeout

A consistent Project Management Delivery Template reduces dispute risk, clarifies acceptance criteria, aligns payment triggers with deliverables, and creates a reproducible audit trail that supports compliance, financial controls, and efficient closeout processing.

Why a Delivery Template Matters for Project Closeout

Teams That Regularly Use the Delivery Template

The Project Management Delivery Template is used by project managers, PMOs, finance, procurement, and vendor teams to standardize handoffs and approvals.

  • Project managers — prepare deliverables, define acceptance criteria, and coordinate final sign-off.
  • Finance / procurement — verify deliverables before releasing final payments or retaining funds.
  • Contractors and vendors — document completion, attach evidence, and accept formal sign-off conditions.

Use consistent templates across projects to reduce manual variation, streamline approvals, and produce records suitable for audits and post-project reviews.

Typical Signers and Their Roles

Project Manager

The Project Manager prepares the template, confirms each deliverable meets the acceptance criteria, coordinates internal reviews, and initiates the signature workflow. They keep version control and retain the final signed record per organizational retention policy.

Contractor Representative

The Contractor Representative certifies deliverable completion, provides attachments (test results, evidence), and signs the acceptance block. Their signature creates the contractual trigger for payment, warranty, or warranty start date as defined in the contract.

Step-by-Step: Completing the Delivery Template

Follow these ordered steps to complete the Project Management Delivery Template accurately and to ensure proper sign-off and record retention.

  • 01
Prepare Document: Populate project name, scope, and deliverable list.

Populate Deliverables: Describe each item and upload supporting evidence.
  • 03
Define Acceptance: Insert clear acceptance tests and approval criteria.
  • 04
Obtain Signatures: Route to authorized signers, capture signatures and dates.

Typical eSubmission Flow for the Template

  • Integrations: Salesforce, NetSuite, Google Workspace supported.
  • Formats: PDF, DOCX, and exportable audit logs.
  • Authentication: Email link, SMS code, or stronger KBA available.

Confirm the platform supports ESIGN/UETA compliance, optional HIPAA BAA where required, and provides exportable signed PDFs and machine-readable audit trails for long-term records.

Key Sections to Include in the Template

A professional Project Management Delivery Template includes structured sections that capture scope, deliverables, acceptance criteria, sign-offs, and evidence to support final acceptance and closeout.

Scope Summary

Concise summary of contracted scope including change order references and any exclusions so reviewers immediately understand what is and is not part of the delivery.

Deliverable List

Itemized list with identifiers, version numbers, delivery dates, and links to supporting artifacts to make acceptance determinations repeatable.

Acceptance Criteria

Measurable tests, performance thresholds, and pass/fail conditions used by reviewers to determine whether each deliverable meets contractual standards.

Signatures & Dates

Dedicated blocks for each authorized signer, job title, organization name, and a date field that together create the contractual acceptance event.

Change Log

Record of approved change orders affecting deliverables, with references to amendment numbers, approval dates, and authorizing signatures.

Attachments

Supporting evidence such as test reports, acceptance checklists, and deployment receipts attached or linked and referenced by deliverable item.

Export and Storage Options for Final Records

Final signed templates should be exportable to archival formats and stored with searchable audit trails for compliance and retention.

PDF Archive

Export a single, flattened PDF that includes the signature summary and inline attachments for long-term retention and printing.

Native Copy

Store the editable DOCX or structured source file alongside the signed PDF for future amendments or reusing templates.

Audit Trail

Retain a machine-readable audit log with timestamps, IP addresses, and signer actions to support disputes or compliance reviews.

Cloud Backup

Keep a redundant copy in secure cloud storage with access controls and encryption for disaster recovery.

Critical Dates to Record on the Template

Key dates tied to the delivery template clarify acceptance windows, payment milestones, and retention start points.

Effective Date:

Enter as MM/DD/YYYY; marks when obligations begin and governs milestone timing.

Submission Date:

Date the deliverable package was submitted for review.

Acceptance Window:

Specify number of days allowed for review and formal acceptance.

Payment Trigger Date:

Date or condition that causes release of final payment.

Retention Start:

Date when archival retention periods begin for the signed record.

Milestone Sequence from Submission to Closeout

A numbered milestone sequence helps teams track progress from delivery submission through formal closeout and document archiving.

01

Initiation

Project manager prepares delivery package and populates the template for submission.

02

Submission

Vendor or internal team submits deliverables and supporting evidence in the template.

03

Acceptance Review

Designated reviewers execute tests and either accept or issue deficiencies for remediation.

04

Closeout & Archive

After acceptance, obtain signatures, issue final invoice, and archive signed records for retention.

Common Preparation Mistakes to Avoid

  • Omitting measurable acceptance criteria leads to subjective approvals and potential disputes over whether work meets contract terms.
  • Using inconsistent project or deliverable names causes mismatches across finance, procurement, and contract repositories and delays payment reconciliation.
  • Failing to attach supporting evidence forces reviewers to request additional materials and extends the acceptance cycle unnecessarily.
  • Routing to the wrong signer or an unauthorized signatory invalidates acceptance and can delay final payment or compliance signoffs.

Risks and Consequences of Inaccurate Delivery Records

Payment Delay: Final payments withheld.
Contract Dispute: Increased risk of contractual claims.
Compliance Breach: Regulatory exposure and penalties.
Tax Withholding: Incorrect payer records may trigger withholding.
Audit Exposure: Missing audit trail complicates reviews.
Liability: Potential contractual liability for nonconforming work.
