What the Project Management Demo Document Is

The Project Management Demo Document is a structured project agreement and intake form used to define scope, schedule, deliverables, responsibilities, acceptance criteria, and key contacts for a discrete project. It combines a brief statement of work with milestone definitions, budget guidance, and approval lines so stakeholders can authorize work consistently. The template is intended for internal project teams, external vendors, and clients who need a concise, reproducible record of expectations before work begins and as a reference through execution and closeout.

Why this document matters and its legal footing

A clear Project Management Demo Document reduces ambiguity about scope, timeline, and approvals and provides an auditable record of project decisions. When signed electronically it meets U.S. e-signature law requirements under the ESIGN Act (15 U.S.C. ch. 96) and state UETA statutes where applicable, supporting enforceability for commercial agreements while preserving evidence of intent and attribution.

Common mistakes to avoid when preparing this document

  • Vague scope language that leaves deliverables open to interpretation and creates disputes.
  • Missing or inconsistent signatory names and titles that prevent final authorization or cause procurement holds.
  • Unclear acceptance criteria so stakeholders disagree on whether a milestone is complete.
  • Failing to attach exhibits (schedules, rates, or drawings) that the body of the document references.

Short list of risks and potential consequences

Enforceability risk: Ambiguous terms may render obligations disputable
Payment delays: Missing approvals block invoicing and cash flow
Regulatory exposure: Improper data handling may cause compliance fines
Contract disputes: Unclear deliverables increase litigation risk
