What the Project Management Display Set Is

A Project Management Display Set is a bundled collection of project artifacts, visualizations, and data exports used to present status, schedule, budget, risks, and decisions to stakeholders. Typical contents include dashboards, Gantt views, milestone trackers, risk and change logs, resource summaries, and signed approval records. The set standardizes reporting for recurring reviews, handoffs, audits, and vendor or client communications, creating a single package that represents the current project state and its governing documents.

Why a Standardized Display Set Matters

A consistent display set improves clarity across teams, reduces rework, and makes audits and approvals faster by providing a single source of truth for project decisions and historical evidence.

Why a Standardized Display Set Matters

Who Typically Prepares and Uses the Display Set

Project managers, program leads, PMO staff, and functional managers commonly create and circulate display sets to support regular governance meetings and audits.

  • Project Manager — Prepares the set, confirms accuracy, and obtains stakeholder approvals prior to governance meetings.
  • PMO / Portfolio Office — Aggregates sets for cross-project reporting and executive dashboards.
  • Contract/Procurement Manager — Uses the set to validate deliverables, change orders, and payment triggers.

Recipients include sponsors, steering committees, external auditors, and clients who rely on the set for timely, auditable decisions.

Core Components to Include in a Professional Display Set

A complete display set balances summary-level visuals with supporting documents so reviewers can verify assertions without additional requests.

Executive Summary

One-page overview of scope, health (RAG status), top risks, schedule variance, and critical decisions requiring sponsor input.

Schedule View

Gantt or milestone chart showing baseline vs. current dates, float, and critical path with percent complete and recent changes documented.

Budget Snapshot

Current vs. forecast spend, earned value or variance metrics, key invoicing events, and signed approvals for any change orders.

Risk and Issue Log

Prioritized list of active risks and issues with owner, mitigation actions, status, and evidence of escalation where needed.

Resource Summary

Allocation and utilization by role, key vacancies or constraints, and any approved scope affecting resource plans.

Change History

Chronological record of approved changes, impacted artifacts, authorization signatures, and links to supporting documents.

Required Information and Fields

Project Name: Official project title
Project Code: Unique identifier
Project Owner: Primary responsible person
Effective Dates: Start and current baseline
Approved Budget: Total authorized amount
Approval Status: Signed, pending, or rejected

Step-by-Step: Prepare and Issue a Display Set

Follow these sequential steps to assemble, validate, route, and archive a Project Management Display Set.

  • 01
Gather Artifacts: Collect latest schedule, budget, risk log, and supporting approvals.
  • 02
Validate Data: Confirm figures and dates against source systems and finance records.
  • 03
Apply Signatures: Obtain approvals from authorized signers; capture audit trail for e-signatures.
  • 04
Distribute Package: Send the compiled set to stakeholders and store a copy in the project repository.

How to Configure Online Templates and Workflows

Template settings and workflow choices determine automation, approvals, and integrations for recurring display sets.

Field Configuration
Template Fixed layout with required fields and attachments
Assigned Roles Owner, reviewer, approver with role-based access
Notifications Email and in-app alerts configured by role
Conditional Fields Show fields only when triggers apply

Routing and Submission Workflow

A clear routing workflow reduces cycle time and ensures each stakeholder receives the correct artifacts in the right order.

  • Upload: Attach the display set files and linked artifacts
  • Assign Reviewers: Route to stakeholders in required signing order
  • Collect Signatures: Capture signatures and audit data for each approver
  • Archive: Store final package in the project repository with version ID

Distribution Channels and Technical Integrations

Choose distribution channels and integrations that match your security and audit needs.

  • Email and Links: Secure email with signing links and optional access codes
  • Systems Integration: Connectors to Microsoft 365, Google Workspace, NetSuite, Salesforce
  • Cloud Storage: Archive to Box, Google Drive, or Egnyte

Integrations reduce manual upload work and ensure the display set aligns with source-of-truth systems for auditability.

How to Export, Save, and Share the Display Set

Export options affect portability, accessibility, and long-term retention; choose formats that preserve signatures and metadata.

PDF (Signed)

Export a flattened, signed PDF that includes visible signatures and an embedded audit trail for preservation and distribution.

DOCX / Editable

Provide an editable document for internal review; convert to signed PDF before final archiving to prevent later changes.

CSV / Data Exports

Export underlying tables (costs, resource allocations) as CSV for import into analytics or finance systems.

XML / Integration

Use XML or API payloads to send structured data to PMO systems or ERP platforms for reconciliation.

Typical Timelines and Deadlines for a Display Set

Common cadence and deadline items for preparing and submitting a standard display set.

Weekly Status:

Prepare within 24–48 hours after reporting period ends

Monthly Governance:

Finalize and distribute 3 business days before steering committee

Quarterly Audit Package:

Compile signed artifacts and evidence within 10 business days of quarter close

Change Request Deadline:

Submit change documentation prior to approval meeting

Archival Timing:

Archive final signed set within 2 business days after approvals

Key Milestones in the Display Set Lifecycle

Sequence of milestone stages from creation through archival and audit readiness.

01

Draft Compilation

Assemble initial artifacts and run validation checks.

02

Stakeholder Review

Circulate for comments and reconcile discrepancies.

03

Final Approvals

Obtain required signatures and record the audit trail.

04

Archive and Retain

Store the signed set with metadata for retention and retrieval.

Common Mistakes When Preparing a Display Set

  • Using inconsistent project identifiers across artifacts, which causes reconciliation failures and reviewer confusion.
  • Failing to capture or retain e-signature audit trails, jeopardizing proof of approval for audits or disputes.
  • Including draft-only documents without version control, leading to unauthorized or unapproved content in the set.
  • Missing required approver authority, which can nullify approvals and require re-execution of documents.

Risks and Consequences of an Incorrect Display Set

Project Delay: Missed approvals
Financial Exposure: Incorrect budget records
Contractual Breach: Invalid signatures
Audit Findings: Noncompliance issues
Dispute Risk: Unverifiable approvals
Data Loss: Insufficient backups

How the Display Set Differs from Common Project Documents

A display set collates multiple artifacts; this table contrasts it with individual documents used in project workflows.

Criteria Project Management Display Set Project Charter
Use Case comprehensive reporting initial authorization
Frequency recurring (weekly/monthly) one-time or occasional
Level of Detail comprehensive with attachments high-level scope and objectives
Required Approvals multiple approvers often required sponsor approval typically sufficient
